Job Description - Assistant Grading Superintendent



Claiborne Hauling is a veteran-owned family business based in Knoxville. We started in 1997 with one single-axle dump truck and have grown to more than 175 trucks and pieces of equipment. We provide hauling, aggregates, borrow pits, grading and excavating, demolition, and heavy haul services across East Tennessee and neighboring states. We're a licensed Tennessee General Contractor. About the Role



We're looking for an experienced grading hand who is ready to lead. The Assistant Grading Superintendent works directly with our Grading Superintendent and acts as his backup. You'll run crews on the job, make sure work is done right the first time, and step in to run jobs when he's away or on another site. You'll also keep our permits and licenses current, help with bids, and track job progress and billing. The right person knows dirt work from the ground up and can teach it to others.


What You'll Do



Field Leadership & Crew Management



  • Serve as backup to the Grading Superintendent and run jobs on your own when he is off site.

  • Lead operators, laborers, and truck drivers: assign daily tasks, set priorities, and keep crews productive.

  • Teach and enforce the correct methods for cut and fill, compaction, subgrade prep, trenching, pad and footer work, and erosion control.

  • Check grade and quality using stakes, lasers, GPS machine control, and plans, and correct work that is off spec before it becomes costly.

  • Plan equipment and truck needs with dispatch so the right iron and trucks are on site at the right time.

  • Enforce safety on every site: toolbox talks, PPE, trench and excavation safety, and traffic control.

  • Coordinate with general contractors, inspectors, engineers, and utility locators.

  • Help evaluate crew performance and develop newer operators and laborers.


Regulatory, Permitting & Licensing



  • Maintain a calendar of permits, licenses, certifications, and renewal deadlines.

  • Prepare and submit grading, land disturbance, and stormwater permits (TDEC NPDES Construction General Permit, NOIs/NOTs, and city and county permits).

  • Keep SWPPP inspections, BMP maintenance, and records current.

  • Support renewals of our contractor license classifications, business licenses, and agency prequalifications.

  • Track insurance certificates, bonds, and compliance documents for each job.


Bid Preparation



  • Review plans and specs and walk sites before bids to identify risks and conditions.

  • Help with quantity takeoffs (cut and fill, haul, aggregate tonnage), crew and equipment productivity assumptions, and pricing.

  • Organize bid documents and addenda, and make sure submissions are complete and on time.

  • Maintain a bid log with results and win/loss history.


Project Tracking & Billing Support



  • Track progress, quantities, truck counts, load tickets, equipment hours, and materials against the job budget.

  • Compile billing packets for each job with backup for materials, labor, and equipment (tickets, timesheets, equipment hours, and vendor invoices) so accounting can bill accurately and on time.

  • Track project draws and percent of completion by line item and prepare supporting quantities for pay applications (including AIA G702/G703 where required).

  • Flag materials bought tax-exempt that are installed on fixed-bid (lumpsum) contracts, so accounting can accrue the tax correctly. Training provided.

  • Keep daily logs, photos, weather delays, and change-order backup.

  • Report schedule, budget, and billing variances, and coordinate with accounting to keep job costing, billing, and draws aligned.



What We're Looking For





  • 5+ years of grading, excavating, or site work experience.

  • 2+ years leading or running a crew as a foreman, lead operator, or similar.

  • Strong working knowledge of earthwork methods, compaction, drainage, and site prep.

  • Ability to read grading plans, site plans, and survey stakes.

  • Ability to operate or competently evaluate dozers, excavators, loaders, and rollers.

  • Valid driver's license, clean driving record, and reliable transportation.

  • Comfort with basic computer work (email, Excel, digital logs and photos).


Preferred



  • TDEC Level I Fundamentals of Erosion Prevention and Sediment Control (EPSC) certification, or the ability to earn it within 90 days.

  • OSHA 30 and competent person training for trenching and excavation.

  • Experience with GPS machine control (Trimble, Topcon, Leica) or grade-checking rovers.

  • Experience with estimating or takeoff software (AGTEK, Trimble Business Center, Bluebeam, PlanSwift).

  • Experience with construction billing, pay applications, or draw tracking.

  • Commercial or TDOT project experience.

  • CDL Class A or B.

  • Bilingual in English and Spanish.

  • Full days on active job sites in all weather conditions

  • Walking uneven terrain and climbing on and off equipment
