Job Description - Athletics Business Manager


About True North Classical Academy

We are seeking an Athletics Business Manager who shares our passion for excellence and our commitment to developing the next generation of leaders.


Position Overview


The Athletics Business Manager is the administrative and financial engine of the True North sports program. This individual will partner with our coaching staff, accounting department, and school leadership to ensure our athletic programs operate seamlessly and remain financially sound. If you have a head for numbers, a passion for sports operations, and a meticulous eye for detail, this role is for you.


Key Responsibilities


Financial Management & Reporting




  • Budget Oversight: Monitor the athletics department’s budget-to-actuals on a weekly and monthly basis, ensuring financial targets are met.  Monitor revenues and expenditures across all sports programs.




  • Purchasing - oversee processing of invoices, payments, and financial reporting.   Coordinate purchasing of uniforms, equipment and supplies across all sports.  Maintain vendor relationships. 




  • Coach Collaboration: Work directly with head coaches to develop, implement, and track their individual team budgets.




  • Accounting Liaison: Serve as the primary bridge between the Athletics and Accounting departments. Ensure all expenses, invoices, and purchase orders are properly coded, submitted, and reconciled.




Game Day & Travel Logistics




  • Game Day Cash Management: Oversee all game-day revenue streams, including gate receipts, digital ticketing platforms, and concession cash boxes. Ensure accurate reconciliation and coordinate timely payments for referees, security, and event staff.




  • Travel & Transportation: Serve as the central hub for team travel. Book and coordinate buses, school vans, and charter transportation for away games and tournaments, while managing associated travel budgets (hotels, meals).




Program Operations & Administration




  • Registration Management: Oversee the end-to-end student-athlete registration process, ensuring all waivers, physicals, and fees are collected prior to the start of the season through the Team Snap system.




  • Fundraising: Coordinate with sports program on implementing and monitoring team fundraising activities (ie Snap Raise/Give Butter)




  • League Logistics: Assist in the day-to-day operations of our internal and external sports leagues, facility bookings, and logistical coordination.




  • Vendor Relations: Manage relationships with uniform suppliers, equipment vendors, and officials to ensure timely delivery of goods and services within budget parameters.




Qualifications & Skills




  • Education: Bachelor’s degree in Business Administration, Sports Management, Finance, or a related field.




  • Experience: 3+ years of experience in business operations, budget management, event logistics, or athletics administration.




  • Financial Acumen: Strong understanding of budgeting, cash handling best practices, and basic accounting principles.




  • Technical Skills: Proficiency in Excel/Google Sheets and experience with sports registration software, digital ticketing platforms, and accounting platforms.




  • Mission Alignment: A deep appreciation for classical education and a commitment to True North’s vision of cultivating virtue through sports.




  • Attributes: Highly organized, proactive, capable of managing multiple seasons and complex logistics simultaneously, and an excellent communicator.
