Position Summary:

We are seeking a detail-oriented Dealership Biller to process vehicle sales transactions accurately and efficiently. This role is responsible for preparing deal paperwork, generating customer invoices, verifying documentation, and coordinating with sales, finance, accounting, and title departments to ensure timely funding and compliance. The ideal candidate has strong organizational skills, excellent attention to detail, and experience working in a dealership environment.

Schedule: Monday-Friday 8am-4:30pm

Key Responsibilities:

• Print funding notices for Banking Team


• Floor plan payoff/flooring reports


• Prepare checks for payoffs/Refunds


• Post new car invoices


• Maintain MSO Book


• Stock in Used cars/write checks as needed


• Bill New, Used, Wholesales and Dealer trades


• Pay Auction statements


• Pay P&L statements


• Prepare and maintain Commission Sheets/Daily sales logs


• Write Finance spiff checks/Prepare money for sales staff


• Assist Floor Plan Auditors


• Month End Duties, commissions, Floor Plan reconciliation


• Other duties & responsibilities as assigned


• Manage assigned schedules/add Comments when necessary

• New Inventory

• Whole sales & Dealer Trade


• Vehicle Lien Payoff


• Due Bill


• CIT/Customer Deposit


• Advertising Credits

Qualifications:

• CDK experience preferred


• Dealership experience preferred


• Knowledge of vehicle sales documentation, title processing, and registration requirements.


• Familiarity with dealership management systems (CDK, Reynolds & Reynolds, Dealertrack, or similar).


• Strong attention to detail and accuracy in data entry and paperwork processing.


• Ability to manage multiple deals and meet deadlines in a fast-paced environment.


• Proficient in Microsoft Office, including Excel and Outlook.


• Excellent organizational, communication, and problem-solving skills.


• Ability to work independently and collaboratively with sales, finance, accounting, and title departments.  


• High School Diploma, GED, or equivalent experience (required)


• Valid driver’s license (required)

Work Environment:

This position is based in a professional automotive dealership office setting and requires frequent interaction with the sales, finance, accounting, and title departments. The Dealership Biller works in a fast-paced environment with multiple deadlines, managing a high volume of transactions while maintaining accuracy and attention to detail. The role involves extended periods of sitting, computer work, and document processing, with occasional movement throughout the dealership to coordinate paperwork and resolve transaction-related issues. Standard business hours apply, with occasional overtime as needed to meet month-end and reporting deadlines.
