Job Description - Benefits Manager

Summary:


As the Benefits Manager you are the go to for company Benefit plans including Medical, Dental, Vision, Voluntary products, Life, AD&D and 401K. This role is independent and service as the subject matter experts ensuring administration or company plans are administered within the compliance of the Summary Plan Documents, State and Federal requirements. Our companies do utilize technology for enrollment, management and administration of benefits within the company HRIS, as well as have the support of Brokers to assist addressing matters in the quickest possible manner.  Benefit plans span across the U.S. over multiple states and various plans to manage with varied Open Enrollment dates.


 


Essential Functions (Other Duties May Be Assigned):


Daily Benefits Program Administration



  • Regularly analyzes benefit programs and services regularly and systematically to include: Benefit loss, billing, enrollments, life events and arrears, etc

  • Reviews and analyzes the benefits to determine employee needs, trends, regulations and practices, and assists in developing competitive programs and services to meet company service expectations

  • Complete monthly reviews and audit of all medical, dental, vision and voluntary invoices company entities for billing reconciliations.

  • Prepares and distributes written and verbal information to inform employees of benefits programs such as insurance plans, pension plans, 401(k), life and special employer-sponsored plans

  • Administer COBRA for all locations monthly

  • Administer Qualified Medical Child Support Orders 

  • Administer the Company portion for all voluntary and life accident & death claims

  • Track all Benefit DIA contributions owed due to employee’s FMLA and LOA

  • Track all Benefit continuation issues related to employee FMLA and LOA

  • Work with the Benefits Broker to provide census reports and any data required for audits and renewal

  • Work with Provider to complete annual ACA filings and 1095/1094 production


 


401K / Roth Administration



  • Track all Qualified Domestic Relations Orders (401K)

  • Manage the payroll 401K contributions and loan payments

  • Administer the Company portions for all 401K death claims

  • Assist the outside Auditors in the completion of the annual 401K audit

  • Annual 401K non-discrimination testing


 


Other Responsibilities



  • Manage UKG tickets and partner with Consultants to complete the annual OE system builds

  • Annually review deduction codes and rule with Payroll to ensure proper plan deduction rates and rules comply with states guidelines.

  • Assist employees with annual open enrollment questions and problems

  • Handles benefit inquiries and complaints to ensure quick, equitable, courteous resolution

  • Comply with all Internal Controls, Company, departmental and safety policies, procedures and regulations. Utilize proper conduct of professionalism in compliance with company standards.

  • Understands and complies with protections under HIPAA and record retention


 


SUPERVISORY RESPONSIBILITIES  


None. This role is independent but has the support of the full department of Human Resources for projects and high volume seasons. Everyone’s success is a success for the department so we’re all hands in.


 


QUALIFICATIONS

  • High level of interpersonal skills to handle sensitive and confidential situations and documentation. 


 


EDUCATION and/or EXPERIENCE 



  • High School Diploma or equivalent. 

  • 2-3 years human resources with benefits experience or completion of a bachelor’s degree in human resources, business administration or closely related field

  • Plus 2-year experience in a Benefits specific position where benefits is the primary function.  


 


CERTIFICATES, LICENSES, REGISTRATIONS: Must possess and be able to maintain the applicable regional Gaming card(s) and/or License(s), if required. 


 


SKILLS 



  • Fluency in English and Spanish is required for this role to ensure Benefits services can be equitably available to all employees.  


Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents.  



  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 

  • Working knowledge of Microsoft Office products.
