Essential Duties and Responsibilities:
- Provide translation from English to Japanese (and vice versa) to support the company’s CEO, COO and broader Global & General Affairs (GGA) needs, ensuring effective communication with senior leaders, customers, expats, vendors, and other stakeholders.
- Provide calendar management for the CEO and COO for internal and external meetings, travel, and company events.
- Coordinate travel arrangements and logistics for meetings and conferences, including flights, hotels, transportation, and expense reports.
- Review and prioritize written communications directed to the CEO, COO, and other members of the Executive Team, exercising sound judgment to resolve general matters.
- Prepare incoming and outgoing correspondence as requested, assist in answering and delegating matters for response follow-up, and/or direct as appropriate.
- Ensure the timely preparation and delivery of materials and reports for both internal and external meetings.
- Process expense reimbursements, invoices, and other internal reporting requirements in a timely manner.
- Manage confidential matters with the highest degree of discretion and professionalism.
- Serve as a back-up for the Office Manager as needed.

Skills and Work Experience Requirements:
- Excellent verbal and written Japanese translation skills and ability to effectively translate written communications into English
- Minimum five years of executive office assistant experience
- Ability to work full-time on-site at our Chicago, IL office
- Demonstrated computer skills and experience with Microsoft Office suite including PowerPoint, Excel, Word, and Outlook.
- Exceptional written and oral communication and presentation skills.
- Superior interpersonal skills and ability to interact with leaders, staff, visitors and vendors with a highly professional demeanor and strong customer service skills.
- Ability to exercise good judgment in a variety of situations
- Strong organizational skills, and the ability to maintain a realistic balance among multiple priorities
- Ability to travel up to 25% and work additional hours as needed.
Education:
- Associates degree required, Bachelors degree preferred

A reasonable estimate of the current base salary range at the time of posting is below. The base salary does not include other forms of compensation or benefits. The actual base salary within the specified range is based on several factors, including but not limited to applicant's skills, prior relevant experience, education, certifications, job responsibilities, market considerations and, if applicable, the location of the position.
This role is eligible for either a discretionary annual bonus (based on company, business unit and individual performance).
Salary Range: $55K-$70K
