The Branch Manager supports the Executive Director in the overall management, growth, and compliance of a branch of the home care agency. This role oversees day-to-day operations, ensures clinical and non-clinical excellence, drives referral growth, and supports the agency’s mission to deliver high-quality, compassionate care to clients in New York.
Responsibilities - Essential Job Responsibilities
Operational Leadership
Oversee the daily operations of the branch, ensuring efficient delivery of home care services.
Maintain compliance with New York State Department of Health (LHCSA regulations) and agency policies.
Supervise office staff, schedulers, and field staff (caregivers, nurses, home health aides).
Ensure timely and effective scheduling and staffing to meet the delivery of authorized client needs in a timely manner
Monitor intake process for new clients, ensuring accurate assessments, and care coordination for smooth onboarding.
Ensure care plans are developed, updated, and followed appropriately.
Resolve client or family concerns promptly, escalating to Executive Director when necessary.
Regulatory & Financial Oversight
Ensure branch compliance with all state, federal, and payer requirements (Medicaid, MLTC, waiver programs, VA, private pay).
Partner with billing/revenue cycle management to reduce denials, address authorization issues, and maintain positive cash flow.
Team Development & Leadership
Coach and mentor branch staff to meet performance expectations.
Conduct weekly staff meetings to align on client updates, staffing needs, and operational challenges.
Collaborate with clinical leadership to ensure quality documentation and caregiver oversight.
Foster a culture of accountability, collaboration, and client-first service.
Overall Goals & Strategic Insight
Operational Excellence: Ensure branch runs smoothly and compliantly with minimal service interruptions.
Client Satisfaction: Achieve high client/family satisfaction scores and strengthen NHTD/TBI Waiver program performance.
Talent Development: Build and support a strong internal team.
Financial Accountability: Support Executive Director to meet or exceed revenue, hours, and budget targets for the branch.
Compliance, Safety & Patient Rights
Adhere to agency policies, accreditation standards and federal/state regulations relevant to the accounts payable process.
Protect patient confidentiality and ensure compliance with HIPAA.
Ensure respect for patient rights in all interactions, addressing grievances appropriately and reporting any allegations of abuse/neglect immediately.
Identify and respond appropriately to emergencies and report accidents/incidents promptly.
Qualifications | Experience | Education
Associate degree in a related field is preferred
Minimum of 3 years of home care experience is required
Strong problem-solving and decision-making abilities.
Knowledge of home care standards, policies, and reimbursement practices.
Commitment to patient-centered, safe, and compassionate care.
Work Environment
This is a hybrid position and operates in an office/home environment and involves extensive computer and desk work. The environment is typically quiet to moderate in noise level and requires regular use of computers, telephones, and standard office equipment. OSHA Category Category 3 – No Risk (No Exposure Expected) Tasks involve no exposure to blood, body fluids, or OPIM, and employees have no duties that would place them at risk. Examples include clerical, administrative, or office-based staff with no patient care or hazardous cleaning responsibilities.
