Institutional Overview

Nestled in 25 acres of beautiful gardens, Philbrook Museum of Art is a 1920s Italianate Villa featuring a dynamic and ambitious program of rotating exhibitions and galleries with selections from an actively growing collection of approximately 15,000 objects. With artworks from Africa, the Americas, Asia, and Europe dating from 3,000 BCE to today, Philbrook is Oklahoma’s most comprehensive art museum and offers visitors a glimpse into a broad range of cultures, time periods, and perspectives. The diverse collection supports a vision of Philbrook as central to the lives of our community as a place for learning, inspiration, and fun. Position Overview

Proactively performs or oversees daily care, maintenance, construction, and long-term planning for all Philbrook buildings and infrastructure, including preventive maintenance, repairs, and assigned capital projects. Upholds and advises on policies related to care and maintenance of historic and non-historic structures; administers construction projects, including bid procurement, contract negotiation, scheduling, budgeting, general project management, and recordkeeping for all projects. Supervises engineering, maintenance, and custodial staff.   


Essential Responsibilities

Facilities Management

  • Collaborate with Horticulture, Collections & Exhibitions, and Events teams to ensure continuity of care throughout Philbrook campus and maintain a safe and welcoming environment for staff and guests. 
  • Handle budgeting, RFPs, bid selection, project management, and record-keeping for all building-related projects, including annual maintenance, general repairs, and assigned capital projects.  
  • Serve as a staff resource for complex projects and long-range planning by consulting, reading, analyzing, and interpreting building and design plans, as-built documents, blueprints, and schematics. 
  • In collaboration with museum leadership, plan, negotiate, administer, and implement building services, security, and construction contracts. Oversee all contractors working on the facility or grounds infrastructure.  

Campus Operations 

  • Inspire a culture of collaboration and proactive support for institutional activities at all levels.  
  • Oversee Assistant Manager for Operations, who manages Event Support staff. Ensure smooth operational support for all on-site events.  
  • Serve as ADA Site Coordinator, ensuring appropriate access for all. 

Organizational Leadership

  • Serve as the primary organizational liaison to all building-associated service providers and vendors.   
  • Develop and manage operating budgets for engineering, custodial, and museum maintenance projects while monitoring expenses and maintaining department efficiencies.  Develop assigned capital budgets. 
  • Manage engineering, maintenance, event operations, and custodial teams to assure productivity, efficiency, and continuous improvement of the staff.  Monitor and evaluate performance and provide coaching, training, and corrective actions as required. 

Safety and Emergency Response

  • In collaboration with museum leadership and partnering with Manager of Safety & Security and Chief Registrar, implement the museum’s safety and security policies, standards, and emergency preparedness plans to ensure a safe and secure environment for visitors, staff, and the collection. 
  • Work closely with museum leadership to mitigate or minimize risks to artwork, facilities, personnel, and visitors.  
  • Be on call 24/7 for emergencies. Coordinate and oversee building recovery process when needed.  

Requirements

Equivalent Education/Experience

Bachelor’s degree (or equivalent work experience) in any of the following or related fields: 

  • Architecture or engineering
  • Facility, construction, or project management
  • Historic preservation  

OR First Class Engineer’s license

+ Plus a minimum of five years of progressively responsible professional experience

Knowledge/Skill/Ability

  • Excellent project management skills, able to plan, organize, assign, and coordinate the activities of subordinate staff.
  • Keen understanding of construction methods, building systems, local building codes, and historic preservation standards and methods. 
  • Comfortable reading blueprints, architectural drawings, construction specifications 
  • Able and willing to perform hands-on tasks when appropriate 
  • Must possess high-level interpersonal skills and the ability to work independently and collaboratively, communicating effectively with a broad range of stakeholders, colleagues, and contractors
  • Organized, innovative, budget-minded, attentive to detail, and committed to excellence, and possessing an open-minded outlook
  • Efficiently operate Microsoft Office products
  • Must be able to meet physical demands and working conditions
