Under assigned supervisor, this position provides administrative support through manual file maintenance, organization, office tasks and compliance.

- Valid driver’s license and acceptable driving record with OHU required levels of coverage for auto insurance
Job Duties Include:
- Responsible for the opening, maintenance and closing of the manual files according to policy and procedures
- Position will answer and direct office phone calls to appropriate program contacts and or resources
- The position will travel and or provide support at multiple sites. The frequency at minimum will be 2x a month at each site. (Mt. Vernon 1 and 2, Effingham, Olney)
- Observes trends in documentation, including missing documentation and procedure issues. Expectation to maintain consistent communication of those findings to the program Supervisor(s) and leader(s);
- Effectively uses word-processing, database, and spreadsheet software application programs during assigned duties;
- Maintains appropriate and organized filing techniques and systems, including but not limited to prepping open file folders, rotating closed files and documenting closed file checklist on manual files.
- Assists the Administrative Office Assistant (AOA) with preparing, organizing and boxing closed files for the closed file storage;
- Will assist AOA with onboarding and other office needs as requested and needed.
- Maintain all information reviewed and observed in strict confidentiality, as the position will directly receive and process information of a confidential nature;
- As necessary per program, receives, reviews, and verifies documents and records for accuracy, completeness, and conformance to applicable rules, regulations, policies, and procedures prior to manual filing;
- Reviews and meet expectations of the program and OHU Recordkeeping and filing policy and procedures, in accordance with program expectations, Medicaid and Council on Accreditation standards;
- Operates standard office equipment including a computer, copier, printer, and other related equipment;
- Performs related duties as required

- Ability to learn the operations, procedures, policies, and requirements of the assigned department or program and effectively apply them with good judgment in a variety of procedural situations
- Ability to accomplish clerical/secretarial duties with speed and accuracy
- Ability to understand and carry out a variety of oral and written instructions
- Ability to perform mathematical calculations accurately
- Ability to establish and maintain a variety of records and filing systems
- Ability to prioritize and appropriately schedule assignments or tasks to meet established deadlines
- Ability to operate a variety of standard office equipment including, but not limited to, a computer, calculator, fax machine, copier, and printer
- Proficient computer skills in a Microsoft Windows environment and adaptive skills to expand software application skills as necessary
- Effective verbal and written communication skills with ability to convey information in a clear, concise manner
- Ability to establish and maintain effective work relationships with those contacted in the performance of required duties
- Ability to be professional and courteous with a strong customer service focus
- Ability to exercise discretion and ensure confidentiality
