Certified HCA Administrator

• High school diploma or equivalent required; Associate degree preferred.
• Minimum of 3 years of scheduling experience in a healthcare setting preferred.
• Previous home health scheduling experience preferred.
• Functional understanding of home health care operations and scheduling practices.
• Experience with electronic health records (EHR) systems; Epic and HCHB experience preferred.
• Proficiency in Microsoft Office, including Word and Excel.
• Knowledge of medical terminology.
• Ability to type 20-30 words per minute.
• Ability to manage multiple priorities in a fast-paced environment.
• Knowledge of Lean principles preferred.

Job Description

The Regional Certified Home Care Aide (HCA) Coordinator oversees the daily operations of the Certified HCA department across the region to ensure efficient staffing, scheduling, and patient coverage. This role provides leadership and support to HCA staff, monitors workflows, identifies opportunities for process improvement, and ensures compliance with company policies and regulatory requirements.

• Supervise and support HCA and scheduling staff, including scheduling, payroll processing, performance management, training, and hiring support.
• Review referrals and coordinate schedules to ensure timely service delivery and appropriate patient coverage.
• Resolve staffing, scheduling, and operational issues in a timely manner.
• Track department performance metrics, analyze operational data, and prepare reports.
• Collaborate with clinical and administrative teams to improve productivity, efficiency, and service delivery.
• Support budget planning, resource allocation, and inventory management activities.
• Serve as the primary point of contact for internal and external inquiries regarding HCA coverage and visit scheduling.
• Maintain knowledge of all HCA and scheduling functions and provide coverage during staffing shortages or high-volume periods.
