The Clerical Medical Office Assistant position is part of the Therapy Services Department and is a full-time role working day shift hours, Monday through Friday, approximately 80 hours per two-week pay period. This position supports the daily operations of the department by providing clerical and front-office assistance while delivering excellent customer service to patients, providers, and staff. Flexibility is required to accommodate practitioner schedules, including vacation coverage and call-offs, as needed.
High school graduate or equivalent required
Medical Office Assistant training or relevant medical office experience required
Medical terminology knowledge and/or Medical Office Assistant training preferred
Strong organizational, computer, and data entry skills
Excellent oral and written communication skills
Professional telephone and interpersonal skills with a customer service focus
Ability to exercise tact and diplomacy in stressful situations
Strong decision-making skills based on urgency and patient needs
Ability to work independently with minimal direction
Willingness to adjust schedule as needed to support department operations
Serve as receptionist and clerical support for the Therapy Services Department
Greet patients and visitors and direct them appropriately
Answer phones, schedule appointments, and manage patient flow
Obtain pre-certifications and communicate with insurance companies by phone and electronically
Perform clerical tasks including typing, filing, report assembly, and maintaining patient charts
Collect patient information and payments as required
Order office and clinical supplies to support department needs
Assist with scheduling outside appointments to ensure continuity of care
Maintain confidentiality and adhere to all organizational policies and procedures
Perform other duties as assigned
