Job Description - Client Service Associate - Wealth Management

Build trust. Create clarity. Strengthen the Advisor–client experience.

The Client Service Associate sits at the center of the Advisor’s practice, connecting people, processes, and systems to deliver a seamless client experience. This role is equal parts relationship builder and operational expert, ensuring every client interaction is handled with care, precision, and follow-through.

You will partner closely with Advisors to translate strategy into execution, managing the day-to-day details that allow Advisors to stay focused on growth and long-term client outcomes. From onboarding new clients to preparing for meetings, maintaining accounts, and resolving service needs, your work brings order, confidence, and consistency to every step of the client journey.

This is a role for someone who takes pride in getting the details right, anticipates needs before they surface, and continually looks for ways to improve how the practice operates.

Supporting client relationships

  • Responding to client questions, resolving issues, and guiding them through account updates and portals
  • Delivering timely, thoughtful service that builds trust with every interaction

Preparing Advisors for success

  • Preparing financial documents and meeting materials
  • Gathering and organizing information for new and prospective clients
  • Scheduling meetings and coordinating events that keep everything running smoothly

Keeping operations clean and accurate

  • Opening and maintaining client accounts across custodial platforms
  • Ensuring Salesforce and internal systems are accurate and up to date
  • Managing documentation and records in line with compliance standards

Keeping the practice running smoothly

  • Drafting polished emails and client communications
  • Supporting administrative workflows, office coordination, and day-to-day operations
  • Representing the firm professionally in every interaction, internally and externally
  • 3-5 years of experience in client service role in a professional services environment, preferably in wealth management.
  • Experience with Schwab, Fidelity and Pershing.
  • Experience with CRM systems, Salesforce preferred.
  • Must have the willingness to learn firm tech systems and implement them into the advisor's practice.
  • Prior use of eMoney or Orion is a plus.
  • Experience in Microsoft Office Suite.
  • Series 7 and/or 65 licenses preferred.
  • Bachelor's degree in related field or equivalent working experience.

  • Leverages AI and automation tools (e.g., ChatGPT, Copilot, Claude) to improve productivity, quality, analysis, and communication.
  • Actively identifies opportunities to streamline workflows, reduce manual effort, and enhance client and business outcomes.

  • Curious, adaptable, and growth‑minded, with a demonstrated ability to learn new technologies quickly, experiment thoughtfully, and integrate emerging tools into day‑to‑day work.
  • Must be a self-starter, willing to bring actionable ideas to an Advisor's practice.

  • Completes action items in a timely manner.
  • Extremely task-oriented, with high standards of quality and accuracy.
  • Strong follow-through skills on delegated tasks and assignments
  • Maintains a high level of customer service and is passionate about meeting and assisting clients.
  • Takes pride in the achievement of team objectives.
  • Manages time effectively.
  • Ability to multi-task, prioritize effectively and be a self-starter.
  • Superior organization skills and attention to detail.
  • Strong written and oral communication skills.
  • Acquires knowledge/skills to further personal, professional, and team capability.
  • Consistently follow high standards of business and professional ethics and legal and regulatory requirements when dealing with others and/or performing work activities.

Base salary: $65,000-$72,000
