THE INFORMATION RECEPTIONIST serves as the first point of contact for incoming calls and walk-in members and visitors, managing front desk operations and providing administrative support to the clubhouse staff, managers, and members.
Key Responsibilities
· Greeting Members: Welcome members and their guests as they arrive at the clubhouse, providing a positive first impression of the organization.
· Managing Phone Calls: Answer, screen, and forward incoming phone calls promptly and professionally. Answer general questions as the first point of contact.
· Administrative Support: Perform various clerical tasks, including sorting mail correspondence for departments, and maintaining Clubhouse office calendars.
· Front Desk Management: Ensure the reception area is tidy, organized, and presentable at all times.
· Handling Inquiries: Respond to general inquiries via phone, email, or in person, providing information as needed.
· Manage the Shipping & Receiving of various vendors IE, UPS, FedEx, Amazon, etc.
· Manage Community Requests for trash & recycling container replacements.
· Food & Beverage Menu prep and printing.
· Process member payments for electronic bank deposits. Post deposits to Member accounts in Jonas.
· Scan/Process vendor invoices into Avid Exchange.
· After invoices have been approved, move them to Jonas. Managers will approve invoices and code them.
· Maintain AP vendor invoice files.
· Assist Accounting in researching Member questions regarding account charges.
· Other duties as assigned.
Required Skills and Qualifications

· Organizational Skills: Strong organizational abilities to manage multiple tasks and maintain an orderly front desk.
· Customer Service Orientation: A friendly and professional demeanor, with a focus on providing exceptional customer service.
· Technical Proficiency: Familiarity with office software and equipment, including phone systems, email, and scheduling tools.
· Experience: Previous experience in a receptionist or administrative role is often preferred but not always required.
Work Environment
· Clubhouse Setting: The Information Receptionists typically work in a Clubhouse environment, interacting with members, visitors, and staff regularly.
· High Volume Interaction: The role may involve a high volume of phone calls and face-to-face interactions, requiring the ability to manage stress effectively.
Employment Status
· Full time – 40 hours (November – April)
· Full time – 30 hours (May – October)
