Position Overview

As a Commercial Dispatcher - HVAC Service at a Modigent operating company, you will be the hub of daily service operations. You will receive service requests, assign the right technicians, and keep commercial customers and field teams aligned throughout the day. This role is built for someone who can manage a high volume of calls and work orders, stay organized under changing priorities, and deliver a professional service experience for commercial HVAC customers.

Duties and Responsibilities

• Receive, record, and dispatch commercial HVAC service requests.


• Assign work to the appropriate technician based on skill, location, availability, and customer priority.


• Balance technician productivity with prompt, effective customer response.


• Answer incoming calls and serve as the liaison between customers, technicians, and service leadership.


• Set, confirm, and adjust appointments, including emergency, demand, and preventative maintenance work.


• Monitor the daily board, track job status, and communicate delays or changes quickly.


• Coordinate with technicians on arrival times, parts needs, and job completion status.


• Support procurement or pickup of job-related materials when needed to keep work moving.


• Ensure work orders are complete, accurate, and returned in a timely manner.


• Maintain accurate scheduling, customer, and service records in the dispatch/service system.


• Provide strong customer service to both internal teams and external commercial clients.


• Perform other duties as assigned to support the HVAC Service Department.

Supervisory Responsibilities

None (individual contributor role).

Requirements/Qualifications

• Experience: 2+ years of dispatching, service coordination, or customer service experience. Commercial HVAC, mechanical, or field-service dispatch experience preferred.


• Education: High school diploma or GED required; associate degree or some college coursework preferred.


• Physical Demands: Primarily office-based work with extended computer and phone use; occasional light lifting under 20 pounds.


• Work Environment/Safety: Professional office setting with hybrid options possible. This is not a safety-sensitive position.

• Excellent verbal and written communication skills with a professional phone presence.


• Strong organizational and multitasking skills in a fast-paced dispatch environment.


• Ability to prioritize competing service calls and adjust quickly as conditions change.


• Customer-service mindset with a focus on responsiveness and problem-solving.


• Proficiency with Microsoft Office (Outlook, Word, Excel) and comfort learning dispatch/service software.


• Attention to detail when scheduling work and updating work orders.


• Ability to work collaboratively with field technicians, Service Managers, and customers.
