POSITION TITLE:   Database Coordinator    

FLSA CLASSIFICATION:   Salary Non-Exempt

REPORTS TO:  Senior Manager of Philanthropy & Engagement

Essential Job Duties


  • Serve as the primary administrator of Raiser’s Edge and RENXT, overseeing database integrity, constituent records, gift and pledge processing, acknowledgements, revenue coding, imports/exports, reporting, and ongoing database maintenance.

  • Maintain accurate constituent records for alumni, parents, grandparents, donors, prospects, students, and other members of the Sion community, including relationships, contact information, communication preferences, and giving and engagement data.

  • Support donor follow-up efforts, including outreach to lapsed donors and donors with outstanding pledge balances.

  • Establish and maintain database standards and procedures to ensure accurate, consistent, and complete constituent records, including duplicate management, address updates, household relationships, constituent codes, attributes, and deceased records.

  • Partner with the Business Office to regularly reconcile revenue, ensuring gifts, pledges, payments, deposits, and revenue coding are accurate across systems.

  • Collaborate with the Registrar to maintain consistent student/family demographic information and enrollment status.

  • Generate mailing and email lists to support Philanthropy & Engagement efforts

  • Manage a cross-functional environment to support use of RE with third-party software vendors, including, but not limited OneCause, UBIQ, and Almabase.

  • Create and maintain online giving forms in RE database view and RENXT web view.

  • Assist with data entry, ticket sales, and sponsorships in OneCause for all events that utilize the auction software and perform all gift imports into Raiser’s Edge following each event.

  • Serve as the primary internal resource for Raiser’s Edge/RENXT, providing training, troubleshooting, and guidance to staff on database processes and best practices.

  • Maintain confidentiality and security of donor, alumni, student, and family information and follow organizational policies and applicable data privacy standards.

  • Support Philanthropy & Engagement events, initiatives, and departmental priorities as needed, including occasional attendance at evening and weekend events.


 

Qualifying Characteristics


  • Bachelor’s degree required, with a minimum of 3–5 years database experience and an understanding of fundraising needs in a non-profit and/or private education environment.

  • Significant experience with Raiser’s Edge/RENXT, as well as proficiency in data entry, gift processing, query design, data importing/exporting, and constituent management. 

  • Experience with the OneCause Auction Platform, as well as other Blackbaud modules/systems (Event and Alumni modules, RE Connect, Enrollment Management, Merchant Services, and ResearchPoint).

  • Knowledge of online form building and online donation systems preferred, as well as the importing/exporting of donations from third-party vendors (Square, DAF platforms, etc.).

  • Must possess attention to detail and be well organized, with the ability prioritize tasks, set clear objectives, and communicate progress and results.  

  • Knowledge of Microsoft suite products (specifically Word and Excel), Google applications, and the ability to learn new computer software as needed. 

  • Ability to maintain a positive attitude in a team environment with demanding deadlines.

  • Willing to work flexible hours that include evenings and weekends.




 Physical Requirements and Work Environment 

 


  • Work at desk and computer screen for extended periods of time. 

  • Turn, bend, reach and occasionally use of ladder.

  • Be able to lift up to 30 lbs. 

  • Work in a traditional climate controlled office environment.
