Job Description - Development Specialist

Job Title: Development Specialist


Location: United States (priority for East Coast time zone and Washington DC based)

Context: As Pathfinder International evolves into a diversified, country-led platform, the Development Specialist will play a central role in ensuring the accuracy, integrity, and efficiency of all fundraising data and gift processing operations. The Development Specialist will be responsible for the timely and precise entry of donations and donor information in both Raiser’s Edge and EveryAction, adhering to established data entry methodologies and standards to maintain clean, consistent, and reliable records. The role will be pivotal in managing gift acknowledgements, maintaining database health through routine audits and record matching, and ensuring all donor information is accurately recorded and up to date.


Your Impact: As the Development Specialist, you will serve as a key liaison between the Individual Giving and Finance team, supporting weekly and monthly financial reconciliation processes, preparing donation transmittals, and tracking a variety of incoming financial contributions, including stock gifts and electronic transfers, to ensure audit readiness and compliance. Reporting directly to the Development Database Officer, you will contribute to a seamless donor experience by serving as a primary point of contact for the fundraising team, managing inbound calls, responding to inquiries, and overseeing shared fundraising inboxes while providing essential administrative and office support.


Key Responsibilities:


Gift Processing:



  • Responsible for all aspects of gift entry across all donor constituencies, from grassroots to principal giving, and from multiple gift channels.

  • In collaboration with Gift Officers, produce timely and accurate gift acknowledgement documentation for donors.

  • Collaborate cross-functionally to suggest and implement updates to gift processing and tracking procedures.


Financial Reconciliation:



  • Using queries and reports in Raiser’s Edge, EveryAction, and other platforms ensure established gift accounting standards and best practices are consistently followed, including weekly reconciliation and transmittal creation with Pathfinder’s Finance Department.

  • Investigate and resolve discrepancies between recorded gifts, bank deposits, and financial reports in a timely manner

  • Compile and organize supporting documentation for all donations, including checks, electronic gifts, and third-party payment reports

  • Track and process incoming financial notifications, including stock gifts, wire transfers, and donor-advised fund distributions.


Invoicing:



  • Prepare all invoices for the Individual Giving team to submit to Finance for payment, ensuring that all charges are properly coded to align with organizational standards.


Communications:



  • Serve as the Individual Giving team’s primary point of contact for both internal and external stakeholders.

  • Respond promptly to donor inquiries, requests, and concerns received via phone, email, and mail.

  • Work with Gift Officers to verify donor commitments, presentations, and reports for both internal and external audiences.



    Data Entry and Maintaining Database Integrity:



    • Work closely with all members of the Individual Giving team to ensure that a wide range of donor specific data, from address updates to prospect management information, is properly entered and maintained in Raisers Edge and other platforms and are aligned with established data standards.

    • Review and validate incoming data for accuracy, completeness, and adherence to internal guidelines before entry into the system.

    • Standardize data entry practices by following predefined naming conventions, coding structures, and record-keeping procedures.

    • Identify discrepancies, outdated information, or incomplete records, and take corrective action.

    • Ensure meticulous organization and record-keeping for key team documents, including invoices, reports, and correspondence by establishing new systems where necessary.


    Other Administrative tasks, as assigned:



    • Throughout the fundraising cycle, assist with various projects involving digital and print marketing, event planning, prospect research, data management, donor development, and stewardship


    What You Bring:



    • Bachelor’s degree in business management, Public Administration, writing, or relevant field of study or a combination of work experience and education that yields the minimally required competencies

    • Four (4) years of work experience in business management, fundraising, human resources or similar field

    • At least two (2) years’ experience using Blackbaud’s Raiser’s Edge and NXT platforms for gift processing, acknowledgement letters, and reconciliation with a financial team. 


    Preferred Qualifications:



    • Fluency in French, Portuguese or Arabic

    • Experience with non-USAID-funded projects

    • Two (2) or more years of work experience in development with an understanding of annual giving and its relationship to major gifts, direct marketing, and finance.

    • Experience processing large quantities of gifts on a weekly basis and producing financial reconciliation documentation for auditing.

    • One (1) year of work experience with a multinational organization or sexual and reproductive health and rights organization

    • Passion for Pathfinder’s mission and commitment to developing and leveraging a deep knowledge of fundraising best practices at cause-driven organizations.

    • Ability to track donor trends and prepare reports on results.

    • Proven ability to maintain confidentiality on work-related issues

    Compensation


    The annual gross salary range for this position is USD 57,692 – USD 65,055.
