Director, Site Feasibility

PhaseWell Research is a PE-backed, multi-site clinical research network spanning oncology, cardiometabolic, CNS (including neurodegenerative disease and psychiatry), dermatology, and pulmonary therapeutic areas. We are building a centralized feasibility function and seeking a Director, Site Feasibility to own it end-to-end—designing the framework, establishing the process, and building the infrastructure that shapes how PhaseWell responds to every sponsor opportunity, while using site capability data, financial performance, and pipeline analytics to proactively identify and pursue the right opportunities with the right sponsors.

The ideal candidate is a high-volume operator, a genuine technology adopter, and a data-driven thinker who earns credibility fast and never lets a deadline slip.

Key Responsibilities

Feasibility Process Ownership

• Architect and own the end-to-end centralized feasibility process—intake, triage, coordination, response, and archival—across all PhaseWell network sites
• Serve as the internal point of contact for all inbound sponsor SIQs, SSQs, and protocol feasibility surveys; enforce the 24–48-hour turnaround commitment as a department policy
• Function as both filter and bid responder: assess every inbound opportunity for network fit, flag which studies PhaseWell should actively pursue, and lead the response
• Establish quality gates, escalation protocols, and coverage models to ensure no opportunity goes unanswered or exits the door with missing or inaccurate information

Stakeholder Leadership & Network Alignment

• Build trusted partnerships with site leaders, PIs, patient recruitment teams, Finance, Quality, and BD leadership—functioning as the connective tissue across functions without waiting to be handed data
• Design a low-burden, repeatable stakeholder engagement model that collects accurate site capability data efficiently while preserving PI autonomy on participation decisions
• Drive buy-in for process and standards through demonstrated value; set a consistent brand voice across all feasibility communications

Data, Technology & Strategic Intelligence

• Build and govern a centralized repository of site profiles, therapeutic area summaries, PI CVs, quality and financial performance data, and pre-approved response language
• Evaluate, select, and implement feasibility and CRM platforms with genuine technical fluency; own network-wide adoption, training, and ongoing optimization
• Pull from Finance, Quality, and site performance data to produce clear, defensible, sponsor-ready RFP responses—without needing to be prompted to find the inputs
• Develop and maintain a go/no-go and prioritization framework for every inbound opportunity—weighting study fit against site capacity, financial viability, therapeutic alignment, and strategic sponsor value
• Build and own enrollment forecasting models by protocol and site, giving BD and Finance a credible, data-backed view of projected performance before a bid is submitted
• Contribute to sponsor and CRO intelligence: tracking relationship history, win/loss patterns, competitive positioning, and pipeline trends to sharpen PhaseWell’s targeting and pitch strategy
• Demonstrate financial discipline in every bid—understanding study economics, budget assumptions, and margin implications well enough to inform prioritization decisions alongside Finance
• Develop and maintain an integration playbook for new site acquisitions—a repeatable framework to rapidly assess, onboard, and incorporate new sites into feasibility, capacity planning, and CRO/sponsor positioning
• Evolve the function from reactive bid responder to proactive network intelligence engine—using site capability data mapped against an available study pipeline to identify and sell opportunities to sponsors before they issue a formal request

Qualifications

• Bachelor’s degree required; advanced degree a plus—any field with demonstrated operational, analytical, or technical rigor
• 7+ years of experience in a clinical research environment, preferably within a multi-site research organization; multi-therapeutic area experience required with oncology experience strongly preferred
• Proven builder: has designed processes from scratch, written SOPs, and driven consistent adoption across a distributed organization
• Genuinely technology-savvy—has evaluated, implemented, and driven adoption of operational or CRM platforms; goes beyond proficiency to ownership
• Demonstrated bias toward AI and automation actively seeks opportunities to apply AI tools, workflow automation, and data systems to improve throughput, reduce manual effort, and scale operations
• Data-driven by instinct pulls from multiple data sources, synthesizes across functions, and turns analysis into actionable, sponsor-ready narratives without prompting; experience with forecasting models or financial analysis a plus
• Exceptional written communicator—produces polished, sponsor-ready documents with minimal rework; detail-oriented enough to catch what’s missing before it goes out
• Strong executive presence; learns clinical and business context within weeks and speaks credibly to sponsors, physicians, and network leaders without direct authority
• Sponsor/CRO relationship management or BD experience in clinical research preferred; CCRP, PMP, or equivalent certification a plus
