What You'll Do
As a Medical Records & Administrative Coordinator, you'll play a vital role in supporting patients, physicians, and healthcare staff by maintaining accurate medical records, coordinating documentation, and providing exceptional administrative support.
Key Responsibilities
Health Information Management
Prepare, scan, index, and maintain patient health records within the Electronic Health Record (EHR) system.
Retrieve, organize, and process discharged patient records.
Ensure medical records are complete, accurate, and properly filed.
Support internal and external record requests and audits.
Maintain a high level of accuracy and attention to detail.
Administrative Support
Coordinate provider meetings, prepare agendas, and record meeting minutes.
Assist with provider scheduling updates and communication.
Maintain reports, dashboards, and departmental tracking tools.
Process incoming and outgoing mail, messages, and department correspondence.
Support leadership with various administrative projects and operational initiatives.
Customer Service
Serve as the primary point of contact for incoming department calls and visitors.
Assist patients, physicians, and staff professionally and courteously.
Route inquiries to the appropriate departments while ensuring timely follow-up.
Maintain a positive, service-focused experience for every customer.
Documentation & Compliance
Coordinate completion of physician documentation and required signatures.
Ensure accurate patient billing information is submitted appropriately.
Monitor incomplete records and communicate outstanding documentation needs.
Maintain strict compliance with HIPAA and patient confidentiality standards.
Qualifications
Minimum 3 years of healthcare office experience
Strong administrative, organizational, and multitasking skills
Excellent verbal and written communication abilities
Experience working with Electronic Health Records (EHR)
Proficiency with Microsoft Office and general computer applications
Ability to maintain accuracy while managing multiple priorities
Strong customer service and interpersonal skills
Preferred
Experience in Health Information Management (HIM), Medical Records, Medical Office Administration, or Hospital Administration
Experience supporting physicians or clinical providers
Knowledge of medical terminology and healthcare documentation processes
