Job Description - Dwight Global Online Part-Time Scheduler

Position: Part-Time Seasonal Scheduler (Remote)
Compensation: $50/hour

This part-time, seasonal role involves managing and coordinating academic schedules for Dwight Global students and faculty across various time zones. Key responsibilities include collecting availability, building and adjusting schedules, and resolving scheduling conflicts. The position requires proficiency with Lantiv Timetabling Turbo and Scheduling Studio software, strong collaboration with academic teams, and effective problem-solving skills to ensure balanced and efficient scheduling aligned with the School’s goals. The role spans January through September, with work intensifying during key scheduling months.

This role is remote.  While much of the work is asynchronous, the Scheduler needs to be available from July 15 to August 31 for daily live meetings via Zoom and prompt email communication between 9 am and 5 pm Eastern Time. 

Monthly Breakdown of Responsibilities:

  • January & February: Training, Planning, and Systems Set up - approx. 50-60 hours
  • March-May: Collect Student Availability and Data Entry to Lantiv - approx. 15-20 hours total over three months
  • June: Prepare Data for Schedule Build - approx. 20-25 hours
  • July: Scheduling - approx. 75-85 hours
  • August: Scheduling and Resolving Schedule Conflicts - approx. 110-130 hours
  • September: Managing Course Changes - approx. 50-70 hours

Requirements:

  • Proficiency with Lantiv scheduling software and Google spreadsheets
  • Experience with scheduling in an educational setting (Grade 6-12 preferred) 
  • Available for Zoom meetings generally between 9 am-5 pm Eastern Time
  • Strong communicator and problem solver 
  • Flexible, determined, and optimistic mindset with a willingness to get the job done

Key Responsibilities:

  • Scheduling Creation and Management: Develop and maintain accurate schedules for Dwight Global students and faculty across multiple time zones; meet deadlines provided by Dwight Global administration
  • Student Scheduling Support: Work with Deans and the Academic Team to create balanced schedules that meet each student’s academic goals and graduation requirements.
  • Data Analysis & Reporting: Analyze scheduling patterns to improve efficiency and effectiveness, providing regular reports to leadership on scheduling conflicts, capacity, and resource utilization.
  • Collaboration & Communication: Partner closely with Heads of Department, Deans, and Admin Team to adjust schedules as needed based on enrollment changes, course changes or other factors.
  • Technology Requirements: Use scheduling software and platforms (e.g., Lantiv, Canvas, Blackbaud, Google spreadsheets) to execute scheduling processes. Ensure all tools and databases remain updated.
  • Problem-Solving: Proactively troubleshoot scheduling conflicts, finding solutions that balance the needs of students and faculty.
