JOB SUMMARY:
The Emergency Department (ED) Ward Clerk is responsible for providing administrative support and facilitating the smooth operation of the Emergency Department. This role includes managing patient information, coordinating communication between healthcare staff and patients, and performing various clerical tasks to ensure efficient departmental workflow. The ED Ward Clerk plays a critical role in maintaining organization and ensuring that patient care is documented accurately and timely.
The Ward Clerk reports directly to Charge Nurse/Manager.
QUALIFICATIONS:
Education:
High school diploma or equivalent is required.
Licensure/Certification:
None.
Work Experience:
Previous experience in a healthcare setting, particularly in an emergency department or similar environment, is preferred.
Experience with electronic health record (EHR) systems and medical terminology is highly desirable.
Skills:
Strong organizational skills, with the ability to manage multiple tasks in a fast-paced environment.
Excellent communication and interpersonal skills, with a focus on customer service.
Proficiency in using office equipment and software, including word processing, spreadsheets, and data entry systems.
Ability to work effectively as part of a team, maintaining professionalism under pressure.
RESPONSIBILITIES/JOB DUTIES:
Patient Reception & Registration:
Greet patients and visitors as they arrive in the Emergency Department, providing a welcoming and professional point of contact.
Perform patient registration (if needed), accurately entering demographic, insurance, and medical information into the electronic health record (EHR) system.
Verify patient identification and insurance information, ensuring all necessary documentation is complete.
Clerical & Administrative Support:
Answer and direct phone calls, taking messages and providing information as needed to patients, families, and healthcare providers.
Manage and maintain patient records, ensuring that all documentation is accurate, complete, and filed correctly in the EHR system.
Assist in coordinating patient flow by notifying clinical staff of patient arrivals, transfers, and discharges.
Prepare and maintain forms, reports, and other necessary documents for the department.
Communication & Coordination:
Facilitate communication between the Emergency Department team, including nurses, physicians, technicians, and ancillary services.
Relay messages and critical information to appropriate personnel promptly, ensuring clear and accurate communication.
Coordinate with other hospital departments, such as radiology, laboratory, and admissions, to ensure timely processing of tests, procedures, and admissions.
Scheduling & Patient Tracking:
Monitor and update patient tracking systems to reflect current patient status, room assignments, and provider availability.
Assist with scheduling follow-up appointments, tests, and procedures for patients as directed by clinical staff.
Maintain an organized and updated log of admissions, transfers, and discharges.
Supply Management & Support:
Assist in maintaining inventory of clerical supplies, ensuring that all necessary materials are available and stocked.
Help with ordering and organizing office supplies and materials as needed to support the department’s operations.
Support the nursing and clinical staff with administrative tasks as required, including faxing, scanning, and copying documents.
Compliance & Confidentiality:
Ensure compliance with all hospital policies, procedures, and regulations related to patient privacy, HIPAA, and confidentiality.
Maintain a professional demeanor, treating all patient information with the utmost confidentiality and discretion.
Participate in quality improvement initiatives and contribute to the maintenance of a safe, organized, and efficient department.

WORKING CONDITIONS:
The role involves working in a busy, sometimes high-stress environment with frequent interruptions and a need for quick decision-making.
The position typically involves shift work, including nights, weekends, and holidays.
The role requires extended periods of sitting and working at a computer, as well as some walking and standing.
