Email Marketing Specialist

This temporary part-time position will initially provide dedicated email marketing support for the Global Rosary for Peace campaign and related post-event communications, while providing additional email marketing support to the Marketing Department as needed.

Position Summary

Holy Cross Family Ministries is seeking a temporary, part-time Email Marketing Specialist to provide dedicated support for email communications associated with the Global Rosary for Peace and other Marketing Department initiatives as needed.

The Email Marketing Specialist will assist with the creation, formatting, setup, scheduling, testing, deployment, and monitoring of email communications. The position will work closely with members of the Marketing and Digital Evangelization teams to ensure communications are timely, accurate, visually consistent with established brand standards, and effectively targeted to appropriate audiences.

The initial focus of the position will be supporting the Global Rosary for Peace campaign, including daily communications leading up to the event and follow-up communications afterward.

Essential Duties and Responsibilities

• Build and format email communications within the organization's email marketing platform.
• Create professional email layouts and basic graphics consistent with established HCFM branding and communications standards.
• Prepare provided copy, images, and other content for effective presentation within email campaigns.
• Set up and verify links, buttons, images, calls to action, and other email elements.
• Manage audience lists, segmentation, and distribution groups.
• Prepare targeted communications for different audiences, including clergy, parents and families, students, teachers, and individual participants.
• Schedule and deploy emails according to established communications calendars and deadlines.
• Proofread and test communications for accuracy, formatting, functionality, links, and mobile responsiveness.
• Coordinate with Marketing and Digital Evangelization staff regarding content, approvals, revisions, priorities, and deadlines.
• Monitor basic email campaign performance, including open rates, click-through activity, and engagement.
• Prepare basic campaign reporting and identify opportunities for improving future communications.
• Assist with post-event communications and other email marketing projects as assigned.

Qualifications

• Previous experience with email marketing, digital communications, marketing, or a related field.
• Experience using an email marketing or marketing automation platform; experience with HubSpot preferred.
• Familiarity with Canva or similar graphic design tools preferred.
• Strong attention to detail and demonstrated proofreading skills.
• Ability to organize multiple communications, audiences, and deadlines simultaneously.
• Basic understanding of email marketing practices, audience segmentation, and campaign performance metrics.
• Strong written communication and collaboration skills.
• Ability to work independently while following established branding, messaging, and approval processes.
• Ability to maintain accuracy and consistency while working within time-sensitive campaign deadlines.

Work Environment and Technology

The employee will require access to HCFM's email marketing platform, including HubSpot, and may be provided access to Canva and other organizational systems necessary to perform the position's responsibilities.

Temporary Nature of Position

This is a temporary, part-time position created to provide additional Marketing Department capacity during a period of increased communications activity. The initial assignment will focus primarily on the Global Rosary for Peace campaign and related follow-up communications. Temporary employment is expected to last approximately ten weeks. The anticipated duration, weekly hours, and assignment may be adjusted based on organizational needs. Temporary employment does not create a guarantee or expectation of continued employment beyond the designated assignment period.

Hours and Compensation

The position is expected to work approximately 10–15 hours per week. As a non-exempt position, the employee will be required to accurately record all hours worked and will be compensated in accordance with applicable federal and state wage-and-hour requirements.
