Job Description - Endoscopy Scheduler

Duties/Responsibilities: 



  • Participate and maintain a culture that offers Coordinated, Compassionate, and Comprehensive Medical Care within Boice Willis Clinic that is consistent with the content outlined in the Employee Handbook. To this end, employees will be expected to read, have familiarity, and embrace the principles contained within.

  • Handles administrative tasks: Interact with all patients, providers and co-workers in a professional manner. gathering patient details, verifying billing and insurance information.

  • Utilize a multiline phone system and answer all incoming calls in a timely manner.

  • Manage Records: Update patient demographic and insurance information in the Electronic Medical Record (EMR) as needed; ensure prior authorizations have been received; communicate status of prior authorizations with appropriate staff.

  • Schedule appointments accurately according to physician’s scheduling template and procedural screening requirements.

  • Notify patients of changes in scheduled appointments in a timely and accurate manner.

  • Communicate to patient payment expectations per BWC financial policy at time appointment is given.

  • Maintain area and telephone coverage at all times, coordinating breaks and lunches with other staff in assigned areas.

  • Follow all BWC protocols and procedures.

  • Maintains HIPAA and OSHA compliance.

  • Perform other duties as assigned.


Required Skills/Abilities: 



  • Ability to work well with providers, clinical staff, and patients.

  • Ability to work on multiple tasks simultaneously in a busy, fast-paced environment while maintaining quality of work, excellent organizational and time management skills.

  • Excellent, proven customer service skills and strong communication, both orally and written.

  • Knowledge of and/or experience with basic computer and telephone skills.

  • Analytical skills to assess problems and independently determine appropriate response and action.

  • Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care authorization is preferred.


Education & Experience: 



  • High school diploma or equivalent required.

  • One (1) or more years of experience in a customer service-related industry, required.

  • One (1) or more years of experience in a medical office setting, preferred.
