Job Description - Enrollment/Credentialing Specialist

The Enrollment/Credentialing Specialist position is responsible for supporting administrative operations, credentialing functions, and physician onboarding activities. This position works closely with the Primary Care Practice Administrator, administrative leadership, providers, and external agencies to ensure efficient office operations and compliance with credentialing and regulatory requirements. Responsibilities include coordinating medical staff appointment and reappointment processes, maintaining credentialing records, assisting with physician onboarding and Epic practice packets, preparing reports and meeting materials, and supporting departmental administrative needs. This role requires strong organizational skills, professionalism, confidentiality, and the ability to work independently in a fast-paced healthcare environment.

Qualifications

  • High school diploma or equivalent required.
  • Associate degree in secretarial studies, office technology, or related field preferred, or a minimum of five years of administrative or secretarial experience.
  • Strong knowledge of office procedures, filing systems, and office equipment.
  • Proficiency in Microsoft Office and other computer applications.
  • Medical terminology knowledge preferred.
  • Strong written and verbal communication skills, including grammar, spelling, and punctuation.
  • Ability to maintain confidentiality and exercise professionalism and discretion.
  • Strong organizational skills with the ability to prioritize and manage multiple responsibilities.
  • Ability to work independently and collaboratively with others.
  • Willingness to learn and adapt to changing responsibilities and technology.
  • Ability to maintain Notary Public status preferred or willingness to obtain.

Key Responsibilities

  • Provide administrative support to the Primary Care Practice Administrator and other leadership staff as assigned.
  • Coordinate medical staff appointment, reappointment, and credentialing processes.
  • Maintain and verify credentialing files, licensure, certifications, and related records.
  • Communicate with outside agencies and primary sources to verify credentialing information.
  • Assist with physician onboarding and Epic practice packets.
  • Schedule meetings, prepare materials, and record meeting minutes as assigned.
  • Compile reports, surveys, statistical data, and other administrative documentation.
  • Maintain records related to accreditation, licensure, and regulatory agencies.
  • Serve as Document Control Administrator within PolicyTech for assigned departments.
  • Coordinate weekly CME meetings and assist with medical staff services activities.
  • Support hospital vehicle scheduling and practitioner travel arrangements as needed.
  • Maintain professionalism, confidentiality, and compliance with organizational policies and procedures.
