Event Services Rep, Flex

Communication within and outside the Vanderbilt community is an essential responsibility of the position and should reflect Vanderbilt's values of quality education and a welcoming environment for all members of Nashville's diverse community. Event Assistants will receive training to ensure they are prepared to assist visitors. Flexibility to work nights and weekends is required, but availability to assist at events during regular business hours would be an added benefit. Some events may span more than three hours, sometimes ending around midnight.  Dyer’s event season typically runs from March through December.

About the Work Unit:

Vanderbilt Dyer Observatory’s mission is to inspire public interest in science, technology, engineering, math, and astronomy through community events, student outreach, and educational resources. The Observatory is an inholding within the boundaries of Radnor Lake State Park and is home to the historic Seyfert Telescope. The facility provides a variety of STEAM educational opportunities and summer science camps. It also hosts teacher workshops, lectures, field trips, celestial viewings, and general tours to achieve its overarching mission to bring the excitement of astronomy, physics, and nature to students and the public throughout the middle TN region. Public events such as Bluebird on the Mountain concerts and private rental events also make use of this unique property.

Key Functions and Expected Performance:

• Serve as a professional and outward-facing representative, interacting with clients, guests, vendors, and the general public.

• Assist with and oversee event setup and tear-down, ensuring spaces are prepared according to event plans and restored appropriately afterward.

• Act as an on-site point of contact during events, answering questions, providing directions, and helping address client and guest needs.

• Coordinate with staff, vendors, and event organizers as needed to support event logistics and day-of operations.

Supervisory Relationships:

Reports to the Observatory Director. Supports the Events & Marketing Specialist.

 Education and Certifications:

• Bachelor’s degree is preferred. 

Experience and Skills:

• Good people, customer service, and verbal communication skills are necessary.
• Strong attention to detail is necessary. 
• Strong problem-solving skills and ability to think on your feet to find practical solutions are necessary. 
• A desire to engage in-person with persons of all ages, and a strong ability to effectively communicate to members of a diverse audience is necessary. 
• Ability to lift 50lbs is necessary; AED training and certification is preferred.
