Job Description - Executive Administrative Assistant

Executive Administrative Assistant -  Phoenix, AZ

WHO WE ARE: Cultivate Your Career with a Vibrant, Dedicated Team

Small Giants isn’t just a marketing and business development agency; we’re a thriving community committed to long-term success in Phoenix and Denver. We are a woman-owned, highly specialized strategic and creative agency specifically focused on commercial real estate, construction, and professional services. This is an award-winning, highly collaborative company specializing in commercial real estate and construction (CRE and AEC) clients of all sizes across the country.

We believe in crafting specialized growth strategies, creative concepts, brand storytelling and strategic communications that drive our clients’ success. Our vibrant team culture thrives on collaboration, continuous learning, and shared achievement. From team outings and catered lunches to ongoing internal education opportunities, we are committed to helping our team deepen their expertise and grow their careers at Small Giants.

Small Giants is looking for an Executive Administrative Assistant (EAA) who thrives in a high-pressure, high-accountability environment. Supporting our Founder & President Danielle Feroleto, you operate with a unique blend of extraordinary detail-orientation and the ability to pivot instantly as strategic priorities shift.

You are not just managing a calendar; you are proactively addressing the operational friction for an industry leader who is driving meaningful change for valued clients. This role is for an emotionally intelligent, seasoned professional who earns trust through consistent, high-quality results and who can keep pace with an exacting executive who cares deeply for her team and the clients we serve.

What the position entails

  • Manage a complex, fast-paced professional calendar; anticipate scheduling conflicts and proactively resolve them to maximize the President’s focus on high-level strategy for the agency and its clients.

  • Proactively evolve your understanding of how to best prioritize meeting requests and professional commitments.

  • Provide seamless day-to-day, in-office support that keeps the President’s schedule running smoothly, ensuring written and verbal communication is concise and timely.

  • Screen all incoming communications and correspondence, responding where able and delegating actions to other team members as appropriate.

  • Act as a professional liaison with clients, prospective clients, employees, and community leaders, maintaining high standards for quality and factual communication.

  • Coordinate end-to-end travel itineraries (air, hotel, car, dining) and provide personal support to ensure all professional and personal obligations are met with precision.

  • Handle sensitive and confidential personal and company information with high integrity and discretion.

  • Prepare reports, documents, and internal materials as needed, including daily, weekly, and meeting briefings with clear insights, context, and decision points.

  • Complete duties as assigned by your manager.

Qualifications

  • 5+ years of experience supporting senior executives in fast-paced, high-growth environments.

  • Proven success as an Executive Assistant supporting a Founder, CEO, or C-suite executive in a fast-paced industry (AEC/CRE experience is a plus).

  • Track record of driving efficiency, organization, and executive effectiveness and mature with a professional presence.

  • Ability to communicate with clarity, brevity, and authority.

  • Bachelor’s degree in Business, Communications, Marketing or related field preferred.

Behaviors and talents needed for this position:

  • Integrity and Discretion: Handle sensitive business and personal matters with unwavering honesty, ethical conduct, and the highest level of professional honor and discernment.

  • Accountability and Goal-Driven: Take full ownership of goals and results, delivering on commitments with precision and proactively owning errors to ensure continuous improvement.

  • Humble Team Player: Approach every task with a humble growth mindset, actively engaging in our collaborative culture and fostering strong internal relationships by assuming positive intent.

  • Exceptional Responsiveness: Uphold the brand promise by ensuring all internal and external communication is timely, clear, and professional, preventing the executive office from becoming a bottleneck.

  • Relentless Problem-Solver: Proactively seek solutions to logistical or strategic hurdles, demonstrating a drive to push through obstacles and ensure the President’s objectives remain on track.
