Executive Ambassador Program Operations Associate

As an Executive Ambassador Programs Operations Associate within Consumer and Community Banking you will help senior leaders build their public profiles through social thought leadership, advancing the firm's strategy and culture. The role supports a high-profile roster of Consumer & Community Banking executives and partners closely with executive communicators, content teams, legal and external communications to ensure program execution is timely and compliant. Reporting to the Vice President, Executive Ambassador Program Lead, the Executive Ambassador Program Operations Associate serves as the operational backbone of the program, managing key workflows, anticipating issues, maintaining accurate records and providing high-quality support in a fast-paced executive communications environment.

Job responsibilities 

• Manage recurring program workflows, calendars, trackers and status updates across the executive cohort, maintain onboarding and offboarding materials, permission forms, access records, executive lists and communicator preferences and coordinate onboarding logistics and support smooth transitions when executives or communicators join, leave or change roles
•  Maintain and update playbooks, templates, process documentation and training materials, coordinate weekly content batches, previews, reviews, edits, executive approvals and scheduling and manage end-to-end publishing in Sprinklr, including quality checks, status tracking and closed-loop communication with executive communicators. 
• Apply LinkedIn best practices and program standards while flagging content that requires strategic, legal or leadership review and maintain legal approval logs and audit evidence when legal review is required
•  Support daily monitoring of executive posts and comments during established coverage hours, draft recommended responses and reactions for executive communicator review, reflecting the executive’s preferences and voice and coordinate timely follow-up with executive communicators and escalate customer complaints, sensitive comments or time-critical issues through the appropriate process. 
• Maintain records, escalation documentation and executive preference guidance, maintain audit-ready records of approvals, publishing activity, monitoring and escalations; Produce accurate monthly, quarterly and year-to-date reporting on publishing, reach, engagement, follower growth and participation
•  Conduct quality checks, identify data issues and coordinate resolution with platform or reporting partners; Turn performance data into practical recommendations for content, cadence and executive engagement, support procedure updates, control testing, evidence collection and recertification activities and follow applicable social media, legal, privacy and records-management requirements. 
• Build trusted working relationships with executive communicators, social and content teams, PR, video, paid media, controls and legal partners, escalate process gaps, unclear ownership or potential risks promptly and communicate priorities, deadlines, dependencies and status clearly. 
• Identify opportunities to simplify workflows, reduce manual effort and improve service quality. 
• Support trainings, office hours, program meetings and ad hoc initiatives as needed. 

Required qualifications, capabilities, and skills: 

• 3+ years of relevant experience in social media operations, employee advocacy, executive communications, program management or a related field. 
• Highly organized and detail-oriented, with the ability to manage multiple high-priority workflows independently. 
• Strong writing, editing and stakeholder communication skills. 
• Experience with social media publishing, monitoring and analytics tools, including Sprinklr and LinkedIn analytics. 
• Strong proficiency in Microsoft Word, PowerPoint and Excel, including reporting and data quality review. 
•  Proven ability to build credibility with senior executives and executive-level stakeholders, exercising sound judgment, discretion, attention to detail and professionalism when handling sensitive information. 
• Ability to follow defined controls while recognizing when a situation requires escalation. 

Preferred qualifications, capabilities, and skills:

• Experience in financial services or another regulated industry. 
• Working knowledge of legal, compliance and records-management requirements for social media. 
• Experience supporting executive social media or thought leadership programs. 
• Basic design or multimedia skills in Canva or Adobe Creative Suite.
