Established pre-seed and seed venture firm is looking for an experienced Executive Assistant to support four Investment Partners. This is an exciting opportunity to join a fast-growing, high-volume firm at the center of the earliest-stage startup ecosystem, with a casual, entrepreneurial culture and a collaborative EA and operations team. In this role, you'll keep four Partners moving seamlessly through busy, ever-changing days: managing calendars and scheduling around high deal flow, coordinating travel, processing expenses, greeting guests, and making sure the right people are in the right meetings. You'll also partner with another EA and the program team on events, demo days, and firm-wide initiatives. Someone who is polished, warm, and highly adaptable, who genuinely enjoys the unpredictability of venture and can pivot a full day of meetings without missing a beat. This is an in-office role, primarily based in San Francisco's Mission Bay with Mondays in Menlo Park and the occasional WFH day. 200-220K DOE + 100% covered benefits, discretionary bonus, 401K with match, flexible PTO, and paid team lunches.


Responsibilities:



  • Own calendar and scheduling management for four Partners in a high-volume, fast-moving deal environment, making sure nothing overlaps and the right people are in the right meetings.

  • Manage scheduling that falls outside the firm's automated inbound pitch process, including diligence meetings and other priority meetings.

  • Rework schedules quickly as priorities shift, hot deals come up, and meetings move at a moment's notice.

  • Coordinate domestic travel and trip logistics for the Partners.

  • Process expenses accurately and on time.

  • Greet founders, investors, and guests visiting the office, prepare conference rooms, and make sure Partners are where they need to be.

  • Support inbox communications as needed, following up and keeping things moving.

  • Partner with another EA and the program team to plan and run events, demo days, and firm-wide initiatives.

  • Find ways to improve processes and bring structure to how the pod works together.


Qualifications:


  • Previous 3+ years of experience as an Executive Assistant, ideally supporting multiple executives at once in a startup, venture capital, or client services environment.

  • Familiarity with how venture firms operate is a plus.

  • Exceptional adaptability, with the ability to handle constant change, reshuffle a full day of meetings, and switch gears quickly without getting ruffled.

  • Polished, warm presence with a white-glove, service-first approach to internal and external stakeholders.

  • Proactive and self-directed, with an instinct to anticipate needs and prevent issues before they come up.

  • Exceptional organizational skills and attention to detail, with the ability to juggle competing priorities across multiple people.

  • Strong strategic calendaring skills and sound judgment on prioritization.

  • Excellent written and verbal communication skills, with the ability to interact confidently with founders, investors, and team members at all levels.

  • Low-ego, collaborative, and willing to do what it takes to get things done as part of a team.

  • Proficient with productivity tools such as Google Workspace, Slack, calendaring systems, and expense platforms; familiarity with AI tools is a plus.
