As we continue to grow, we’re looking for a dependable, detail-oriented Executive/HR Assistant to help keep our daily operations running smoothly. This role provides essential executive and HR support to the CEO and CHROO (HR and Operations) ensuring smooth coordination, clear communication, and consistent follow-through. This position works on-site, approximately 20 hours per week. Includes generous paid time off and paid holidays.
Required Education and Experience:
BA preferred
Demonstrated Human Resources, administrative, or higher-level administrative work experience in an office environment, preferably in support of executive-level staff
Nonprofit experience preferred
Required Competencies:
High level of discretion and emotional intelligence
Ability to safeguard confidentiality and manage sensitive data with discretion
Excellent interpersonal, verbal, and written communication skills
Organizational skill and high attention to detail
Strong proficiency with computers and technology
Willingness to learn new technology
Flexibility to manage and prioritize tasks
Understanding of and respect for Hope Clinic mission, vision, and values to serve all in Jesus’ name
Essential Functions:
Prepare agendas, documents, presentations, or other materials needed for meetings and trainings
Prepare materials for Hope Clinic board meetings, including board reports and meeting agendas, if requested
Prepare weekly leadership team level 10 agenda (Excel spreadsheet) prior to each meeting
Schedule and manage CEO calendar for Development, Campaign, Church Relations, and Board events, meetings, and other needs
Update and maintain organizational schedule for quarterly meetings and Hope closures; communicates updates and changes via weekly Team Check-In and SharePoint central calendar
Organize and maintain copy/administrative service area, including staff mailboxes, office supplies, etc.
Attend meetings and take minutes as requested
Coordinate meetings, staff gatherings, and other functions by managing logistical issues such as location, tech equipment, food, agenda preparation, etc.
Act as liaison for CEO with Board of Directors
Process new hire onboarding paperwork, including offer letters, background checks, I-9s, and personnel file setup
Maintain electronic personnel files, ensuring accuracy and compliance
Perform HRIS/data entry for employee records, status changes, compensation updates, etc.
Track and maintain licensure, certifications, and required trainings
Support benefit administration (annual open enrollment, status changes, inquiries, troubleshooting issues)
