Responsibilities
Add and maintain electronic and paper file records by incorporating new materials and creating new records as needed.
Develop and maintain the electronic and archive systems for the Human Resource Division to include employee files, screening files and other related Human Resource files.
Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements.
Find and retrieve information from files in response to requests from authorized users.
Provides authorized employment-related information to external parties in accordance with personnel file management standards, company policy, and applicable laws and regulations.
Keep records of materials filed or removed, using established department guidelines.
Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to established guidelines.
Scan or read incoming materials in order to determine how and where they should be classified or filed.
Track materials removed from files in order to ensure that borrowed files are returned.
Design forms related to filing systems.
Gather materials to be filed from department and employees for both the active and term employee file systems.
Coordinate the yearly gathering of termed employee files from the Black Bear Casino Human Resources and the Fond-du-Luth Casino. Enter file information into the electronic file system and prepare files to be merged into the paper term file system.
Assists with HR Secretary/Receptionist responsibilities as needed or directed.
Appropriate work attire is required.
Must attend all mandatory department trainings.
Ensures confidentiality of financial records and all records for employees and/or clients.
Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
Maintains a clean and organized work area.
Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.
Qualifications
High School Diploma or GED and 1 to 2 years’ experience working with a system of records required; electronic records preferred.
Knowledge of computer applications to include word processing, data bases and/or data entry, spreadsheets, and Microsoft Outlook is required.
Ability to communicate effectively orally and in writing is required.
Ability to work independently and establish priorities is required.
Attention to detail and accuracy is required.
Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
Subject to pre-employment and annual background checks.
Some Travel may be required.
PHYSICAL REQUIREMENTS:
Ability to lift and carry up to 25 pounds is required.
Ability to lift and carry 50 ponds or more with assistance.
Walking, standing, bending, stooping, climbing, pushing, pulling are required.
