The Fleet Coordinator is responsible for overseeing the day-to-day operations and maintenance of all fleet vehicles and associated equipment while ensuring compliance with company policies and State regulations. MUST have service writer or rental car experience.
RESPONSIBILITIES:
Ensures proper safety policies and procedures are in place and followed, including monitoring MVR records for fleet drivers.
Perform MVR records search using the approved background program.
Ensures department compliance with safety and environmental regulations.
Monitors expenditures; prepares and maintains various records and files; prepares reports.
Maintain comprehensive understanding of all DOT/DMV regulations effecting JP Thomas and vehicle operations.
Review fuel and maintenance transactions to ensure compliance with company policy and identify emerging trends and corrective actions.
Conduct vehicle inspections alongside field managers.
Maintain primary responsibility for scheduling and final assessment of vehicle condition.
Process, monitor, and communicate as appropriate registration/ titling issues with fleet team members.
Identify deficiencies in tools and equipment.
Facilitate vehicle maintenance.
Handle internal vehicle transfers among employees.
Monitor and report on vehicles through the telematics system.
Administer and communicate data in the company vehicle database.
Monitor fuel consumption via the online portal system.
Ensure company vehicle policy compliance.
Review all equipment, repair, and maintenance documentation.
Assist with fleet toll/parking/moving violations as needed.
Maintain responsibility for physical GPS install/ swap.
Other duties as required or assigned.
MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Passion for white-glove customer service
HS Diploma- Associate’s Degree preferred
At least 1 year of experience in a fleet program with at least 200 vehicles or related experience in an administrative support role
Experience in a service provider company a plus
Advanced computer literacy required with strong proficiency in Excel
Strong internal and external customer service-oriented
