Position Summary

The Front Desk and Closer plays a central role in creating a seamless, elevated patient experience from the first inquiry through consultation, financial discussions, scheduling, and front-office follow-up.

This is more than a traditional receptionist position. The role combines hospitality, front-office operations, lead follow-up, consultation scheduling, financial conversations, and consultation conversion while maintaining appropriate non-clinical boundaries.

The ideal candidate is warm, polished, organized, and persuasive without being high-pressure. The individual must be comfortable discussing elective cosmetic procedures, pricing, financing, deposits, and next steps with professionalism and discretion.

Regular hours are 8:00 a.m. to 5:00 p.m.; evenings and Saturdays are not required.

This position does not currently include commission, bonus, or other incentive compensation; incentive compensation may be considered in the future.

Essential Duties and Responsibilities

• Welcome patients and visitors in a warm, professional, and discreet manner.

• Respond promptly to telephone calls, texts, emails, website inquiries, and other approved patient communications.

• Schedule consultations, pre-operative visits, procedures, post-operative appointments, and follow-up visits.

• Maintain accurate patient demographic, scheduling, and administrative information.

• Provide approved information regarding services, pricing, deposits, financing options, consultation scheduling, and next steps.

• Conduct the financial and closing portion of consultations independently and within approved guidelines.

• Follow up consistently with prospective patients and consultation leads and maintain accurate lead-tracking records.

• Use the Company's CRM, telephone, scheduling, payment, and financing systems; training will be provided.

• Support consultation-to-procedure conversion without misleading, coercive, or inappropriate sales practices.

• Collect deposits, payments, and approved fees and maintain accurate receipts and payment records.

• Assist patients with approved financing processes and clearly communicate applicable requirements and next steps.

• Maintain patient confidentiality and comply with HIPAA and Company privacy requirements.

• Maintain a clean, organized, and professional reception and consultation environment.

• Support approved marketing, events, review requests, follow-up initiatives, and patient-experience activities.

• Track appointment, consultation, cancellation, no-show, collection, and conversion metrics when requested.

• Perform other duties appropriate to the role and reasonably assigned based on patient and business needs.

• Consultation schedules, patient records, payment documentation, and lead-tracking systems remain accurate and current.

• Patient service and responsible sales performance are balanced appropriately.

• Sensitive medical and financial information is handled with discretion.

• The employee adapts effectively as systems, workflows, and responsibilities evolve.

Required Qualifications

• High school diploma or equivalent.

• Excellent customer service and interpersonal skills.

• Strong telephone, written, and verbal communication skills.

• Strong organization, follow-up, and time-management skills.

• Ability to manage multiple priorities in a patient-facing environment.

• Professional appearance and demeanor appropriate for a cosmetic surgery practice.

• Ability to discuss pricing and financial information confidently and accurately.

• Ability to maintain confidentiality and exercise sound judgment.

• Comfort learning CRM, scheduling, front-office, payment, and financing systems.

Preferred Qualifications

• Experience in cosmetic surgery, plastic surgery, aesthetics, elective healthcare, dental care, luxury hospitality, or consultative sales.

• Experience converting inquiries or consultations into scheduled services.

• Experience with medical practice-management or CRM software.

• Experience with patient financing and payment processes.

• Bilingual skills relevant to the patient population.

Employees may be cross-trained and occasionally asked to assist with reasonable duties outside their usual routine when needed to support patients, colleagues, or operations.
