Job Description - Grant Administrator


 

The Grant Administrator plays an important role in supporting this mission by managing grants from award through closeout and helping ensure funding commitments are carried out successfully. This position works across departments to coordinate grant requirements, track deadlines and deliverables, prepare reports, maintain accurate documentation, and support select proposal development.

We’re looking for someone who is highly organized, proactive, comfortable working with data, and able to keep multiple projects moving at once. You’ll work closely with Programs, Finance, Development, Operations, and leadership to make sure grants are managed accurately, efficiently, and in compliance with funder requirements.

What You'll Do! 

  • Manage grants from award through closeout, including agreements, reporting schedules, deadlines, deliverables, documentation, and compliance requirements.  
  • Maintain organized, accurate, and audit-ready grant files and records. 
  • Coordinate with Programs, Finance, Development, Operations, and leadership to ensure grant-funded activities and commitments stay on track. 
  • Collect program outcomes, financial information, impact metrics, and supporting documentation needed for grant reporting. 
  • Prepare timely and accurate grant reports and funder communications in partnership with internal teams.  
  • Maintain dashboards, trackers, and other tools that provide visibility into grant performance, deadlines, milestones, and compliance. 
  • Identify potential risks, missed deadlines, or gaps and work with internal partners to resolve issues proactively. 
  • Serve as a central point of coordination for grant-funded projects, helping teams stay aligned on responsibilities and timelines.  
  • Prepare and submit select low- to mid-tier grant proposals, sponsorship requests, and letters of inquiry. 
  • Maintain organizational information, program narratives, budgets, impact data, success stories, and other materials that support efficient proposal development. 
  • Support the Director of Grant Strategy with funding opportunities, proposal priorities, and grant pipeline management.  
  • Look for opportunities to simplify workflows, improve data quality, strengthen internal controls, and make grant management more efficient. 

Requirements: 

  • 3–5 years of experience in grant administration, grant writing, nonprofit development, project coordination, compliance management, or a related field. 
  • Bachelor’s degree preferred. 
  • Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines. 
  • Excellent attention to detail and commitment to accuracy and follow-through. 
  • Strong written and verbal communication skills with the ability to collaborate effectively across departments. 
  • Experience collecting, organizing, and reporting data and performance information. 
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint. 
  • Experience working with CRM databases and project management platforms.  
  • Ability to take initiative, identify problems, and move projects forward with limited oversight. 
  • Comfortable working in a collaborative, fast-paced, mission-driven environment. 
  • Valid driver’s license, reliable transportation, and proof of insurance for periodic travel throughout Tarrant Area Food Bank’s service area. 
  • Ability to occasionally work evenings or weekends to support grant deadlines, meetings, organizational priorities, or community events
