Job Description - Health Information Specialist I

Health Information Specialist I Opportunity:


The Health Information Specialist I is responsible for supporting the accurate maintenance, protection, and accessibility of patient health information. This position performs foundational health information management (HIM) functions, including scanning and indexing documentation into the electronic health record (EHR), and providing customer service to patients, staff, providers, and external entities. This role ensures compliance with HIPAA, Joint Commission standards, and applicable state and federal regulations while supporting continuity of care, quality reporting, and organizational operations.


 


Compensation and Benefits:



  • The starting pay ranges from $19.40-$21.13 per hour based on experience and education.

  • This role is full-time and in person.

  • As a full-time employee of NCHC, you could be eligible for the Wisconsin Retirement System (WRS). The WRS is a hybrid defined benefit plan. It contains elements of both a 401(k) or defined contribution plan and a defined benefit plan. Participating staff contribute 7.2% and NCHC will match this at 100% each pay period!


What Qualifies You:


Required:



  • High School Diploma or equivalent

  • Minimum 1 year of experience in a healthcare or behavioral health setting

  • Prior customer service or medical office experience



  • Proficiency with Microsoft Office and electronic record systems


Preferred:



  • Associate degree in Health Information Management or a closely related field

  • Knowledge of medical terminology and clinical documentation

  • Familiarity with HIPAA and privacy regulations

  • RHIT certification

What a Health Information Specialist does at NCHC:



  • Scan, index, and upload patient documents into the EHR according to established standards

  • Maintain the accuracy, confidentiality, and integrity of medical records

  • Perform routine audits to identify missing or incomplete documentation

  • Correct basic discrepancies or escalate issues as appropriate

  • Conduct compliant medical record retention and destruction processes



  • Ensure disclosures comply with HIPAA, Wisconsin statutes, and organizational policy

  • Maintain appropriate documentation and tracking of disclosures



  • Navigate the EHR system to retrieve, scan, and index patient records

  • Monitor records for duplicate charts or indexing errors

  • Report system or documentation issues to senior HIM staff or leadership



  • Respond to inquiries from patients, staff, providers, and external agencies

  • Provide courteous, professional, and timely service

  • Communicate clearly regarding documentation requirements



  • Maintain regular attendance and meet productivity and accuracy expectations

  • Complete required organizational and departmental training

  • Adapt to changing workflows in a high-volume environment

  • Maintain confidentiality and professionalism at all times

  • Complete required training and continuing education

  • Perform other duties as assigned
