Job Description - HR Administrator

Description

The Human Resources Administrator provides operational and administrative support across the employee lifecycle. This includes, but is not limited to, onboarding and offboarding administration, employment eligibility and compliance documentation, HRIS data management, workforce reporting, surveyor medical exam coordination, employment law poster compliance, HR shared inbox management, invoice processing, and cross-functional coordination with Payroll, Benefits, Recruiting, IT, Compliance, and other departments. This role serves as the first point of contact for general HR inquiries and as the primary HR contact for assigned client groups.

What You Will Do:

  • Coordinate the full onboarding process for assigned client groups, including new hire communications, paperwork, documentation collection, I-9 compliance, background checks, drug screenings, system access requests, orientation support, and maintenance of related records.
  • Serve as the primary contact for new hires, guiding them through the onboarding process and resolving documentation or system-related issues.
  • Support employee offboarding processes, including termination paperwork, system updates, exit documentation, and coordination with internal stakeholders.
  • Administer and maintain employee records within the Human Resources Information System (HRIS), including job changes, compensation updates, organizational changes, status changes, and terminations - ensuring accuracy, completeness, confidentiality, and compliance.
  • Process employment verifications and other employee-related requests in a timely and confidential manner.
  • Prepare, process, and maintain employment-related documentation, ensuring compliance with company policies and legal requirements.
  • Provide workforce reports for management review and analytical purposes, such as headcount reports, internal salary surveys, HR metrics, and other HRIS reports upon request. Generate, analyze, and distribute ad hoc reporting as needed.
  • Coordinate with external vendors for Surveyor Medical Exams on a monthly basis, participate in weekly vendor calls, escalate unique cases to the HR Manager for review, identify sources of employee concerns related to existing processes, and recommend process improvements to the HR Manager.
  • Update and maintain employment law posters in corporate offices and online platforms nationwide to ensure compliance with federal, state, and local regulations.
  • Review HR-related invoices and documentation for accuracy and proper processing.
  • Assist with HR compliance initiatives, audits, record retention requirements, and policy administration.
  • Support the HR Manager with special projects and programs, such as benefits enrollment, performance appraisals, merit increases, and system implementations.
  • Coordinate with Payroll, Benefits, Recruiting, IT, Legal, and other departments to support shared initiatives and ensure accurate information flow across teams.
  • Assist in managing the HR shared inbox, serving as the first point of contact for general HR inquiries, providing timely and accurate information, and escalating issues to appropriate HR team members as needed.
  • Identify, suggest, and encourage ongoing process improvements across HR.
  • Provide administrative support to HR team members as needed.
  • Respond with sensitivity to the needs of internal customers while maintaining a flexible and responsive approach to change. You may be assigned to interact with and support a particular client group or departments within the ABS organization.
  • Maintain the professional competence, knowledge, and skill necessary for strong performance in all assigned responsibilities.
  • Perform other departmental tasks and/or participate in various projects as assigned by the Human Resources Manager, Vice President of Human Resources, and Executive Level leadership.

What You Will Need:

Education and Experience

  • Three (3) years of related Human Resources experience.

Knowledge, Skills, and Abilities

  • Self-starter and quick learner with a proactive approach to problem-solving.
  • Strong aptitude for and proficiency navigating HRIS platforms and business systems.
  • Proficient in Microsoft Office Suite, particularly Microsoft Excel (pivot tables, VLOOKUP, data validation, and reporting tools).
  • Excellent verbal and written communication skills, with the ability to communicate clearly and professionally at all levels of the organization.
  • Strong analytical, organizational and administrative skills, with high attention to detail and accuracy.
  • Highly dependable and deadline-oriented, with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to handle sensitive and confidential information with discretion.
  • Ability to receive direction and carry out assignments from multiple members of the HR department and management.
  • Should possess a well-rounded temperament and ability to handle complicated tasks under potentially stressful situations.
  • Must be able to demonstrate strong computer proficiency skills.
  • Ability to learn the ABS Health, Safety, Quality, and Environmental Management Systems.

 

It Would Be Nice If You Had

  • SHRM-CP, PHR, or other relevant certification. 
  • College degree or equivalent experience.

 

Reporting Relationships:

This role will report to the Senior Manager of Human Resources.
