We are seeking a detail-oriented and organized HR & Administrative Specialist to manage day-to-day human resources and administrative operations. This role is responsible for payroll processing, benefits administration, employee lifecycle management, recruiting support, compliance, office administration, and general operational support. The ideal candidate is highly organized, able to work independently, and comfortable handling confidential information.
Responsibilities
Human Resources & Payroll
Process biweekly payroll, including pay rate changes, commissions, reimbursements, deductions, and employee status changes.
Maintain employee personnel files and HR documentation in accordance with federal and state requirements.
Coordinate employee onboarding and offboarding, including new hire paperwork, orientation, and termination documentation.
Administer employee benefits, including health insurance, 401(k), leave administration, and enrollment changes.
Support compliance with federal, state, and local employment laws by maintaining required notices, records, and documentation.
Coordinate with external partners, including payroll providers, benefits brokers, legal counsel, and government agencies regarding HR and employment-related matters
Answer employees with payroll, benefits, and HR policy questions.
Support employment-based immigration processes by coordinating required documentation with employees and immigration attorneys.
Coordinate the recruitment process, including posting jobs, scheduling interviews, communicating with candidates, and preparing offer letters.
Administrative & Office Operations
Manage office supplies, vendors, service providers, and facility-related requests.
Maintain company records, contracts, and administrative documentation.
Coordinate with external vendors, insurance providers, and other business partners.
Assist with company events, employee communications, and other administrative projects.
Support general office operations and provide cross-functional administrative assistance.
Reporting & Process Improvement
Prepare HR and payroll reports as requested.
Audit payroll and employee data to ensure accuracy and identify discrepancies.
Recommend process improvements to increase efficiency and maintain organized workflows.
Participate in special projects and perform other duties as assigned.
Qualifications
Bachelor's degree or equivalent work experience.
Experience in Human Resources or Office Administration.
Experience processing payroll using HRIS/payroll systems (ADP preferred).
Working knowledge of payroll, benefits administration, recruiting, and employment practices.
Strong proficiency in Microsoft Excel and Microsoft Office.
Excellent organizational, communication, and problem-solving skills.
Ability to manage multiple priorities while maintaining accuracy and confidentiality.

Compensation: $50,000-$100,000/ year
Job Type: Full-time (onsite)
Working Hours: Monday–Friday, 8:30 AM to 5:30 PM (12:30 PM to 1:30 PM unpaid lunch break)
