Position Summary / Career Interest:

The HR Operations Specialist oversees the new hire employment process and new hire experience, along with the responsibility for accurate and timely processing and auditing of HR transactions in Workday, the Human Resource Information System. This role is responsible for the new employee record set up, responding to employee and manager questions and problems regarding employee information and payroll concerns, working closely with the Payroll staff to resolve pay issues. The HR Operations Specialist supports a positive employee experience by making navigation of the on-boarding process quick, easy and understandable for the new employee.

Responsibilities and Essential Job Functions
  • Provide excellent service by assisting new hires in navigating the onboarding process and following up with them regarding missing information, documents or tasks such as direct deposit or tax forms. Ensure all Onboarding tasks and documents are thoroughly completed in a timely manner enabling new hires to have a positive experience as they join the organization.

  • Audit new hire electronic HR files, scanning all pertinent documents into the record. Audit and maintain electronic employee files, including documentation of primary source verifications.

  • Create and maintain new employee lists, disseminating to appropriate departments and hiring managers in preparation of New Employee Orientation.

  • Prepare documents and materials needed for New Employee Orientation, assisting with set-up, check-in and obtaining proper I-9 documentation from new hires.

  • Review employee portion of Employment Eligibility Verification Form (FormI-9) for completeness and complete the employer portion in a timely manner. Confirm work eligibility using E-Verify.

  • Respond to employee and manager questions regarding employee HR information and payroll concerns. Enter payroll deductions, stipends and special pay information, including retention and relocation incentives into HRIS system. Run audits during payroll run to ensure no errors. Work closely with payroll staff to resolve pay issues.

  • Review and process HR-related transactions in Workday, ensuring accuracy of information entered via Employee and Manager Self-Service.

  • Assist employees by answering basic HR and Payroll questions, providing guidance and instruction on Employee Self-Service in Workday.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • High School Graduate

  • 2 or more years of experience working in Human Resources, Payroll or Finance.


Preferred Education and Experience
  • Bachelors Degree in Human Resources, Business Administration or related field from an accredited college or university.


Preferred Licensure and Certification
  • PHR, SPHR, SHRM-CP or SHRM-SCP.


Preferred Language Skills
  • English - Read, write and speak English.


Knowledge Requirements
  • Excellent written, oral and interpersonal communication skills.

  • Strong understanding of the customer, ability to solve problems and communicate clearly in a positive manner.

  • Intermediate to advanced computer skills.

  • Demonstrate ability to handle highly confidential information.

  • Excellent analytical, organizational and problem-solving skills, ability to multi-task, and maintain a very high level of accuracy while meeting deadlines in a fast-paced and challenging environment.

  • Working knowledge of HR systems, including Workday and Kronos.
