Human Resources Assistant

Location: This position will be based primarily in our Livonia Office, with travel to the Ann Arbor office as needed, including for training purposes.

Reports To: Human Resources Specialist

Position Summary:

This is a full-time, hourly position. The Human Resources Assistant provides support for agency-wide human resources functions, administrative operations, and office infrastructure. This position plays a key role in maintaining personnel recordkeeping including HRIS data management, ensuring effective personnel onboarding, and supporting recruitment and applicant screening. 

This role works collaboratively with the Human Resources Specialist, as well as the entire Operations team, to support agency operations, ensure compliance with internal policies, and maintain a professional and functional work environment. The position requires flexibility, strong organizational and interpersonal skills, and the ability to manage a wide range of responsibilities.

Qualifications:

• High school diploma required; Associate’s or Bachelor’s degree in Business Administration, Human Resources, or a related field preferred
• Experience in administrative support, human resources, or office operations preferred
• Strong organizational skills and attention to detail
• Strong written and oral communication skills
• Ability to manage multiple tasks and priorities in a fast-paced environment
• Ability to work independently and collaboratively
• Proficiency with computer systems and office software
• Ability to learn and adapt to new systems and technologies
• Experience with HRIS systems (Paylocity) a plus.

Essential Functions and Responsibilities:

• Assist with recruitment, screening, and onboarding of new staff
• Assist with pre-employment requirements, including background checks, I-9 verification, E-Verify, and reference checks
• Coordinate with Operations Assistant for all new staff technology and office space needs.
• Maintain personnel files and ensure compliance with HR documentation requirements
• Track staff orientation, training completion, and performance evaluations
• Maintain agency training records and support compliance with required training standards
• Assist with staff retention initiatives and HR-related projects
• Support Quality and Compliance Specialist as it relates to human resources.
• Assist with special projects and agency initiatives as assigned
• Provide general coverage support to the clerical team as needed.

Administrative Responsibilities

• Attend agency staff meetings and program-related meetings
• Participate in agency trainings and professional development activities
• Maintain an up-to-date personnel file as directed by Human Resources
• Maintain regular and predictable attendance
• Demonstrate the ability to accept and apply feedback
• Perform additional duties as assigned to support agency operations

Work Environment and Schedule:

This position is primarily office-based and requires regular interaction with staff, clients, and community members. Work may require flexibility to meet agency operational needs.

Physical Requirements:

This position requires the ability to:

• Lift and move office supplies and materials
• Operate office equipment
• Sit, stand, and move for extended periods

Legal and Employment Requirements:

• Must not have been convicted of child abuse or neglect, or a felony involving harm or threatened harm to an individual, fraud, or financial crimes within the 10 years immediately preceding the date of hire
• Must not be listed on the central registry as a perpetrator of child abuse or child neglect
