Description

Job Summary: The position will be responsible for customer service, office administration and sales support as needed. Will also work with plant manager and sales team to monitor inventory and place, and track orders as needed. Customer service via answering phone calls and customer inquiries to provide timely and accurate updates on orders and quotes as needed. Assisting with office duties including completing paperwork, order entry, and other office work as requested. 

Essential Duties and Responsibilities: 

  • All general office administrative functions including answering phones and routing the the appropriate person, filing as required, and general office organization
  • Route paperwork from office to warehouse, confirming shipped orders, to the Invoicing Department at corporate to ensure timely invoicing
  • Order entry into computer system
  • Communicate with warehouse workers and will call customers
  • Place courtesy calls and send faxes to customers regarding order confirmations informing them of their shipments and approximate arrival times
  • Assist with the coordination and tracking of customer orders to ensure proper communication and delivery. Keep up to date on the orders in other plants, if needed, and make sure orders are scheduled to ship on time. Provide proof of deliveries to customers when an order delivers.
  • Provide proof of deliveries to the customers when an order arrives
  • Support sales team with quotes and basic customer inquiries as needed 
  • Support in the quotation process, the placement of purchase orders, and follow-up with sales to ensure product and process is completed correctly
  • Placement and tracking of purchase orders with vendors
  • Monitoring inventory levels of components against open orders and determining re-order amounts and timing
  • Assist in maintaining accurate cost data on components and package
  • Will be required to perform all other duties as requested, directed or assigned

Requirements

Education and Experience: 

  • Bachelor’s degree or equivalent experience preferred
  • Two years’ experience in Sales required
  • Requires at least one year of experience within an office environment
  • Experience working Microsoft Office Products, Microsoft Axapta experience preferred

Job Knowledge, Skills, and Abilities: 

  • Demonstrated problem-solving and negotiation skills
  • Excellent oral and written communication skills
  • Coaching/mentoring experience with less senior sales staff
  • A demonstrable capacity to keep abreast of new technology trends
  • Basic computer knowledge in Word, Excel and Outlook 
  • Data entry experience needed. 
  • General customer service skills
