Install Sales Coordinator

Tibbetts Lumber Co. LLC, a growing lumber and building materials company, is seeking a qualified Install Sales Coordinator. This position schedules and coordinates all installation and service-related activities within the Install Department. The coordinator ensures projects are prepared accurately, scheduled efficiently, completed, and invoiced on time, while supporting installers, subcontractors, sales teams, and homeowners.

Essential Duties and Responsibilities 

• Coordinate and schedule pre-walks, post-walks, exterior door installs, trim installs, window installs, siding installs, lockouts, tech service calls, install service calls, and homeowner warranty appointments.
• Schedule all installs, service calls, install service calls, and homeowner warranties in My Job Ready (MJR),ensuring accurate job entry and timely follow-up.
• Ensure notes and pictures are imported into MJR, along with detailed information including builder name, construction manager, contact information, gate codes, and homeowner details.
• Review work orders, plans, and material requirements before scheduling to ensure job readiness.
• Communicate job details, updates, and changes to installers, subcontractors, sales staff, and homeowners.
• Maintain accurate records of scheduled work, completed installations, service calls, and warranty requests.
• Provide install schedules to each store location to ensure all have current and accurate installation timelines.
• Receive, review, and provide initial approval for installer invoices.
• Assist with resolving scheduling conflicts, missing materials, and job -readiness issues.
• Support compliance with company standards, installation requirements, and safety guidelines.
• Provide timely responses to homeowner warranty inquiries and service needs.
• Serve as a point of contact for escalated scheduling issues and departmental coordination.

Requirements

• Strong organizational and communication skills.
• Experience in install coordination or building materials preferred.
• Ability to read and interpret plans and work orders.
• Proficiency with scheduling systems and email communication.
• One (1) year technical certificate or three to four (3-4) years related experience, or equivalent combination of education and experience.
• Prior experience in a coordination role preferred.
• Experience with MJR and BisTrack systems is a bonus.
