We’re looking for an Inventory & Receiving Coordinator to help ensure the accuracy, efficiency, and integrity of operations at our Sorrento Valley Warehouse.

This hands-on role sits at the intersection of receiving and inventory control, responsible for verifying incoming shipments against purchase orders, resolving delivery discrepancies, and maintaining a disciplined cycle-count program across 701 active SKUs.

If you’re detail-oriented, organized, hands-on, and take pride in getting the numbers right, this could be a great opportunity to make a direct impact on our supply chain operations.

Essential Functions

Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.

Supervisory Responsibilities:

  • ·None

Receiving & Logistics Coordination

  • Receive and process incoming freight arriving via parcel, LTL, and air freight carriers.
  • Verify physical inventory against purchase orders, packing slips, and Advance Shipping Notices (ASNs) upon arrival.
  • Inspect shipments for quantity discrepancies, shortages, and freight damage; document and coordinate resolution with Purchasing, Planning, suppliers, and carriers.
  • Ensure received materials are accurately sorted, labeled, and routed to the correct storage location or department.
  • Coordinate delivery schedules, damage claims, and delivery exceptions and serve as a day-to-day point of contact between the warehouse and supply chain teams.

Inventory Accuracy, Cycle Counting & Reconciliation

  • Execute the daily, weekly, monthly, and quarterly cycle-count program across all active SKUs, following ABC velocity-based frequency assignments.
  • Maintain record-to-physical inventory accuracy within defined tolerance thresholds and promptly update the ERP/WMS (NetSuite or equivalent) for count results, receipts, and approved adjustments.
  • Investigate inventory variances and receiving discrepancies to identify root causes, document findings, and support timely reconciliation of book-to-physical balances.
  • Support periodic physical inventory counts, wall-to-wall audits, and ABC classification reviews as inventory velocity changes.
  • Assist with adjustment documentation and identification of obsolete, damaged, or expired inventory for proper disposition in accordance with internal control policies.

Serialized & High-Value Inventory

  • Perform serial-number verification on high-value, serialized equipment — including Launch Monitors, Projectors, and Computers — to confirm unit-level accuracy.
  • Flag and escalate any serial-number mismatches, missing units, or condition issues on high-dollar assets immediately.
  • Apply heightened diligence to 'A' class items given their outsized impact on shrinkage and write-off exposure.

ERP/WMS, Documentation & Reporting

  • Maintain accurate, up-to-date records in the ERP/WMS for all SKUs, lots, and serial-controlled items.
  • Use barcode scanners and other data-capture tools to maintain accurate inventory records and minimize manual entry errors.
  • Maintain documentation supporting receipts, counts, adjustments, and shipments, including BOLs, packing slips, and count sheets.
  • Contribute data to standardized inventory accuracy and receiving reports for management review.

Stock Replenishment & Reordering

  • Monitor inventory levels against established reorder thresholds and alert management to potential shortages or overstock conditions.
  • Assist with replenishment activities and vendor orders in accordance with company purchasing procedures.
  • Coordinate with Procurement to confirm order status, lead times, and delivery expectations.

Warehouse Organization & Location Accuracy

  • Conduct physical location audits to verify bin accuracy and proper storage of inventory.
  • Maintain a clean, organized, and safe receiving and storage environment in accordance with warehouse standards.

Cross-Functional Communication

  • Communicate inventory discrepancies, count results, receiving issues, and replenishment needs with Purchasing, Planning, Fulfillment, Finance, and warehouse teams.
  • Coordinate with suppliers and carriers to resolve delivery and shipment issues.
  • Support cross-training with other warehouse staff to ensure operational coverage during absences and peak periods.

Perform other duties as assigned

  • Familiarity with barcode scanners, inventory data-capture tools, receiving workflows, packing-slip auditing, and cycle-counting methodologies.
  • Strong attention to detail, numerical aptitude, and accuracy in inventory tracking and data entry, particularly with high-value or serialized inventory.
