Lead Adult Day Coordinator

Position Summary

The Lead Adult Day Coordinator is responsible for coordinating the daily operation of Adult Day Services, supervising direct support staff, and ensuring the delivery of high-quality, person-centered services. Reporting directly to the Chief Operating Officer (COO), this position serves as a key member of the Adult Day Services leadership team and assists with program implementation, staff development, participant outcomes, and regulatory compliance.

Essential Responsibilities & Duties

 Program Operations

• Coordinate daily Adult Day Program activities and services.


• Ensure participants receive services in accordance with individualized goals and support plans.


• Support Individuals to Achieve Personal Outcomes and a High Quality of Life


• Monitor daily schedules, staffing assignments, transportation coordination, and participant attendance.


• Assist in planning and implementing community-based activities, volunteer opportunities, and enrichment programs.


• Address routine operational concerns and participant needs.

Staff Leadership

• Provide day-to-day supervision of assigned staff.


• Assist with onboarding, training, and mentoring new employees.


• Assist the COO with scheduling, staffing coordination, and operational planning.


• Coordinate and deliver staff development to ensure employees are well-informed about Day Treatment Plans, Behavior Support Plans, and agency procedures.


• Promote high-quality services, consistent care and a positive team culture.

Compliance & Quality Assurance

• Complete accurate documentation in Therap and other required forms (e.g., T-Logs, GERs, ISP data)


• Ensure compliance with licensing, standards, and internal quality assurance through consistent programing, accurate documentation, and preparation for inspections and reviews. .


• Ensure health, safety, incident reporting, and participant rights standards are maintained.


• Participate in audits, monitoring reviews, and quality improvement initiatives.


• Assist with implementing corrective actions and compliance measures as directed.


• Promote an environment that is free from abuse and neglect, respecting the rights and dignity of individuals and coworkers.

Participant & Family Support

• Promote person-centered practices and meaningful participant engagement.


• Build positive relationships with participants, families, guardians, and community partners.


• Develop and manage Day Treatment Plans, ensuring training objectives and goals are individualized and adjusted as needed to support personal progress, skill development, and increased independence.


• Assist with participant concerns and service-related issues.


• Support participants in achieving personal goals and desired outcomes.

Health & Safety Support

• Maintain a safe environment by providing safety training, conducting regular inspections, enforcing agency safety policies, and completing and documenting fire drills and safety-related activities.


• Use positive behavior support techniques and implement Behavior Support Plans (as applicable) to manage and de-escalate challenging situations


• Support prescribed diets, adaptive equipment use, and safety drills


• Follow proper lifting and mobility assistance techniques

Transportation & Community Engagement

• Coordinate transportation for program related services and activities


• Operate agency vehicles, wheelchair lifts, and restraints as trained


• Follow agency transportation and safety protocols

Medication

• Administer medications and treatments per agency policy


• Review, complete and/or support completion of Medication Administration Records (MARs)


• Oversee medication room to ensure alignment with standards, directives, and agency policy

Additional Duties

• Report maintenance or repair needs immediately


• Attend meetings and complete ongoing training as required


• Perform related duties as assigned to support the agency’s miTrHession and operational needs

Work Activity Program Duties

• Monitor and verify the completion of consumer time and production records to ensure accurate wage calculation in compliance with U.S. Department of Labor, OIDD, standards, and directives


• Ensure work quality to meet or exceed customers specifications


• Maintain and submit accurate billing records for completed work to the finance department promptly

Physical Demands and Working Conditions

• Lift up to 50 lbs; assist with adult transfers as needed


• Frequent movement: standing, walking, bending, kneeling, crouching, reaching, and lifting


• Work indoors and outdoors in varied environments


• Possible exposure to communicable diseases and physical aggression


• Use of safety equipment (gloves, eye/ear protection) may be required


• May be assigned to alternate locations or shifts


• Must operate agency vehicles safely, including at night

Performance Requirements - Knowledge, Skills, & Abilities

• Clear written and verbal English communication


• Ability to follow directions and work independently


• Positive interpersonal skills and time management


• Good judgment and accountability

Education & Experience

• Bachelor’s Degree from an accredited college in Human Services, Social Services, or Management


• Five years working with individuals with developmental disabilities (preferred)

License

• Valid South Carolina Driver’s License and acceptable driving record required
