Position Overview
The Lead Medical Assistant provides day-to-day leadership and clinical support for school-based health center operations. This role combines hands-on patient care with staff guidance, workflow coordination, immunization program support, and quality improvement activities. Working collaboratively with the Clinical Senior Manager, providers, and school partners, the Lead Medical Assistant helps ensure efficient clinic operations, consistent clinical practices, and a welcoming, patient-centered experience for students and families.
Primary Responsibilities
Team Leadership & Clinic Operations
- Provide day-to-day guidance and support to Medical Assistants, promoting teamwork, accountability, and consistent clinical practices.
- Assist the Senior Manager with staffing coordination, workflow management, and daily clinic operations.
- Support the onboarding and training of new staff on clinical workflows, procedures, and electronic systems, including NextGen, i2i, and CAIR.
- Coordinate Medical Assistant activities in the supervisor's absence, under the direction of the Clinical Senior Manager.
- Ensure clinic readiness by monitoring medical supplies, equipment, exam rooms, emergency carts, and adherence to safety standards.
- Reinforce compliance with Eisner Health policies, procedures, and established clinical protocols.
Vaccine Program & Immunization Coordination
- Support the Vaccines for Children (VFC) program by monitoring vaccine inventory and usage, coordinating vaccine orders, and maintaining accurate documentation.
- Collaborate with the CAIR Coordinator to ensure immunization records are accurate, historical vaccine information is entered correctly, and registry updates are completed.
- Coordinate immunization reminder and recall activities, patient follow-up, and the availability of current vaccine education materials.
- Support vaccine inventory management, immunization reporting, and compliance with applicable program requirements.
Clinical Care & Patient Services
- Perform Medical Assistant duties, including obtaining vital signs and patient histories, preparing patients for examinations, assisting providers, administering medications and immunizations within the scope of practice, and performing blood draws and specimen collection.
- Maintain accurate electronic health records, verify patient documentation and consents, and ensure orders, test results, and billing-related services are completed.
- Provide patient education, reinforce provider instructions, monitor patient responses to treatment, and promptly report clinical concerns.
- Maintain clean, organized, and adequately stocked clinical spaces; monitor equipment and medication logs; and support referrals, scheduling, and patient follow-up.
Data, Reporting & Quality Improvement
- Use electronic health systems and Microsoft Excel and PowerPoint to track clinic activities, analyze data, prepare reports, and present findings.
- Support immunization reporting, inventory tracking, and quality improvement initiatives.
Patient Experience & School Community Engagement
- Build positive relationships with students, families, school faculty, and community partners.
- Promote a welcoming, inclusive, and culturally responsive care environment.
- Support front office operations, including registration, demographic updates, insurance screening, payments, appointment scheduling, and patient inquiries.
- Provide front and back office coverage as needed to support clinic operations and continuity of care.
Required Qualifications
- Current Medical Assistant certification from a Medical Board of California-approved certifying organization required.
- At least two years of Medical Assistant experience in an outpatient setting, including both front office and back office responsibilities with adult and adolescent patients.
- Current CPR certification.
- Family Planning Health Care Worker certification, or willingness to complete the certification by the next available class or within the required timeframe.
- Bilingual proficiency in English and Spanish.
- Demonstrated knowledge of the Vaccines for Children (VFC) program. Experience with private vaccine programs alone does not meet this requirement.
- Experience with blood draws and specimen collection.
- Strong computer skills and proficiency with Microsoft Excel and PowerPoint.
- Ability to organize information, interpret data, prepare reports, and present findings.
- Ability to work flexible hours and travel between school-based clinic locations as needed.
- Ability to maintain patient confidentiality and work effectively with students, families, healthcare professionals, and school personnel.
Preferred Qualifications
- Previous leadership, lead Medical Assistant, or team coordination experience.
- At least one year of experience in a family practice setting.
- Familiarity with CAIR, i2i, vaccine inventory management, and immunization reporting.
- Experience working in pediatrics, adolescent health, school-based health, or community health settings.
- Experience using data to support quality improvement, clinic operations, or program initiatives.
