We're building a high-performing legal operations organization in St. Louis, and we're looking for a Manager, Paralegal Operations to lead a team of approximately 40 Legal Assistants and Administrative professionals through a structure of 4-5 Team Leads.
This role is responsible for driving operational excellence across our Legal Assistant and Administrative support functions, ensuring attorneys have the support, information, and resources needed to maximize recovery outcomes. The Manager will oversee workforce planning, productivity, quality, training, process improvement, and performance management while developing Team Leads into strong frontline leaders.
This is a highly visible leadership role for someone who thrives in a fast-paced environment, enjoys building structure, and knows how to turn operational challenges into scalable solutions.
What You Will Own
Leadership of Leaders
Directly lead and develop 4-5 Team Leads responsible for Legal Assistant and Administrative support teams.
Establish performance expectations, accountability standards, and leadership routines for Team Leads.
Coach Team Leads on workforce management, employee development, performance management, and operational execution.
Build leadership bench strength and succession plans across the organization.
Foster a culture of ownership, urgency, collaboration, continuous improvement, and customer service.
Operational Execution & Workforce Management
Oversee daily operations for a team of approximately 40 employees supporting attorneys and legal operations.
Ensure work is prioritized appropriately and completed accurately, efficiently, and on time.
Manage staffing models, capacity planning, workload balancing, and resource allocation.
Monitor queue health, turnaround times, productivity, service levels, and quality metrics.
Partner with Team Leads to remove obstacles and address performance issues quickly.
Ensure operational coverage and business continuity across all support functions.
Quality, Training & Process Excellence
Create and maintain operational standards, SOPs, training materials, and quality controls.
Ensure work products meet legal, compliance, and client expectations.
Partner with Training and Legal Leadership to improve onboarding and accelerate employee ramp times.
Use quality audits and performance data to identify coaching opportunities and process improvements.
Drive continuous improvement initiatives that improve efficiency, consistency, and scalability.

Legal Assistants and Administrative teams consistently meet productivity, quality, and service-level expectations
Attorneys receive timely, accurate, and proactive support
Operational queues remain organized, visible, and appropriately prioritized
New team members are onboarded efficiently and achieve productivity expectations quickly
Quality issues, rework, and workflow delays are reduced over time
Standard operating procedures are documented, followed, and continuously improved
Team members understand expectations, take ownership of their work, and operate with accountability
Leadership has clear visibility into team performance, staffing needs, risks, and opportunities
What You Bring
5+ years of experience as a paralegal, legal assistant, or in a related legal or case support role, subrogation, personal injury, insurance claims, or workers' compensation experience preferred
2+ years directly managing or supervising a team, including formal performance management responsibility
Demonstrated experience managing high-volume caseloads and driving measurable results
Strong working knowledge of case workflow and legal support or claims processes
Comfort setting clear expectations, coaching performance, and holding a large team accountable
Ability to use data to guide prioritization and decision-making
Clear, confident communication with attorneys, team members, and leadership
Experience supporting legal, healthcare, insurance, claims, recovery, or professional services environments preferred
Bachelor's degree preferred; paralegal certificate from an ABA-approved program a plus

Compensation
Base Salary: $110,000 – $120,000 (based on experience) + performance incentive
