Vascular Surgery Medical Group is a busy and growing vascular practice specializing in minimally invasive vascular procedures, vascular ultrasound, and patient-centered care. Our mission is to help patients improve their quality of life through advanced vascular treatment and compassionate care.


We are a collaborative, team-oriented practice focused on delivering exceptional patient outcomes while maintaining the highest standards of safety, professionalism, and clinical excellence. We are currently seeking an experienced Medical Billing Specialist to join our administrative team.


 


Position Summary


The Medical Billing Specialist supports the financial operations of the practice by ensuring accurate, timely billing and follow-up for vascular surgery services. This position is responsible for charge entry, claims submission, payment posting, insurance follow-up, denial management, account resolution, and maintaining accurate billing records in accordance with payer requirements and practice policies. The position is full-time and primarily located in San Ramon, with the ability to float to the San Leandro office as needed.


 


Position Reports To:  Manager


This is an On Site position – Monday through Friday


 


Key Responsibilities



  • Review patient accounts, demographic information, insurance coverage, authorizations, and supporting documentation for billing accuracy.

  • Enter and/or review charges for vascular surgery office visits, diagnostic testing, ultrasound services, and procedures.

  • Submit clean claims electronically and correct claim edits or rejections promptly.

  • Post insurance and patient payments, adjustments, and contractual allowances accurately.

  • Follow up on unpaid, underpaid, denied, or rejected claims and take appropriate action to resolve outstanding balances.

  • Research payer denials, submit corrected claims, reconsiderations, and appeals when appropriate.

  • Work insurance aging reports and prioritize accounts to support timely reimbursement and reduce accounts receivable.

  • Verify benefits and eligibility and assist with billing-related insurance questions as needed.

  • Communicate professionally with insurance carriers, patients, physicians, clinical staff, and other team members to resolve billing issues.

  • Maintain complete and accurate notes regarding claim status, payer communication, and account activity.

  • Follow Medicare, Medi-Cal, commercial payer, and applicable federal and California billing requirements.

  • Maintain patient confidentiality and comply with HIPAA requirements.

  • Assist with patient statements, account questions, and payment arrangements in accordance with practice procedures.

  • Identify billing trends, recurring denials, or workflow issues and communicate them to management.

  • Support other revenue cycle and administrative duties as assigned.


 


Minimum Qualifications



  • High school diploma or equivalent required.

  • Minimum 2 years of medical billing, accounts receivable, or revenue cycle experience.

  • Working knowledge of medical insurance billing, claims processing, denials, payment posting, and insurance follow-up.

  • Knowledge of CPT, ICD-10-CM, and HCPCS coding terminology and their application to medical billing.

  • Strong computer skills and experience working with practice management and/or electronic health record systems.

  • Excellent attention to detail, organization, follow-through, and problem-solving skills.

  • Strong written and verbal communication skills.

  • Ability to work independently and collaboratively in a fast-paced medical practice.


 


Preferred Qualifications



  • Experience billing for vascular surgery, surgical specialties, interventional procedures, or diagnostic imaging/vascular ultrasound.

  • Experience with Medicare, Medi-Cal, and commercial insurance plans.

  • Experience with prior authorizations, appeals, and complex claim resolution.

  • Certified Professional Biller (CPB), Certified Professional Coder (CPC), or similar credential preferred but not required.


 


Work Schedule



  • Monday – Friday, full-time

  • In the office position

  • Day shift schedule; expected 40 hours per week

  • Rare overtime or occasional weekends as needed

  • Primary work location: San Ramon, California; must be able to float to the San Leandro office as needed

Physical Requirements



  • Prolonged periods of sitting and working at a computer

  • Ability to perform repetitive keyboarding, data entry, and telephone work throughout the day

  • Frequent use of computers, phones, practice management systems, and EMR systems

  • Ability to review detailed billing, insurance, and patient account information accurately

  • Occasional lifting of office supplies or files up to 25 lbs

  • Ability to work effectively in a fast-paced medical office environment

  • Ability to communicate effectively with patients, insurance representatives, physicians, and staff throughout the day
