MEDICAL RECORDS CUSTODIAN I (Remote after completion of onsite training)

The Medical Records Custodian I  securely and efficiently assembles confidential Protected Health Information (PHI) into electronic medical charts and gathers requested records for legal matters ensuring that healthcare providers and records requestors receive the most up to date and accurate patient information.  This position is subject to PTO blackout the last ten (10) business days of December each year.

THIS POSITION TRAINS ONSITE IN SAFETY HARBOR FOR UP TO 90 DAYS PRIOR TO GOING REMOTE

ESSENTIAL RESPONSIBILITIES:

• Collects and handles confidential patient health information such as exam results, lab reports, treatment plans, DWC-25, Home Health, Physical Therapy, and related data for commercial insurance carriers, legal offices, and associated clients.


• Prepares Billing Ledger on all incoming records requests.


• Reviews all gathered information to ensure completeness and accuracy.


• Prepares documents and schedules Independent Medical Exams (IMEs) and depositions by coordinating with physicians, clinical staff, nurse case managers, and attorneys.


• Provides medical records requested for legal actions, following patient consent and confidentiality protocols.


• Maintains accurate accounting and billing for prepared and released medical records.


• Adheres to strict HIPAA guidelines and confidentiality practices to uphold and protect patient rights to privacy.


• Performs other administrative duties as directed or assigned.

QUALIFICATIONS:

• High School Diploma required


• Minimum 2 years’ experience in a medical records administration or health records management role


• Degree or Certification in Paralegal studies a plus


• Advanced computer software knowledge required and AllScripts EHR experience preferred


• Strong background in PIP Auto Claims and advanced understanding of medical terminology


• Outstanding communication and interpersonal abilities with high stress tolerance


• Ability to effectively understand, follow, and communicate oral and written instructions in English. Must read, write, and speak English fluently to ensure clear work-related communication and patient safety. 


• Exudes the highest levels of integrity, confidentiality, cooperation, and dependability


• Analytical thinker with excellent attention to detail, accuracy rate, and organizational competencies


• Works fully remote after ninety (90) days successful completion of onsite training in our Safety Harbor office


• Possesses and maintains appropriate router and internet speed for Remote work


• Permanently resides within thirty (30) miles of Tampa, FL

PHYSICAL REQUIREMENTS:

• Ability to safely lift, push, and pull up to 20 pounds at times


• Able to spend prolonged periods sitting at a desk while working on a computer, standing, and walking
