QUALIFICATIONS
REQUIRED: A high school diploma or equivalent is required; an Associate’s or Bachelor’s degree in healthcare administration, business, or a related field is preferred. Candidates should have at least two years of experience in healthcare administration, Medical Staff Services, provider credentialing, continuing medical education coordination, or a related healthcare setting. Experience preparing meeting agendas, minutes, reports and confidential correspondence is preferred. Strong organizational, time management, written, and verbal communication skills are essential, along with proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with credentialing software is preferred. Candidates should possess problem-solving skills, decision-making abilities, and knowledge of medical terminology. Candidates must demonstrate a strong commitment to maintaining confidentiality and exercising sound judgment in handling sensitive information, ensuring discretion and professionalism in all interactions. Maintains active membership in the Oregon Association of Medical Staff Services (OAMSS) and the National Association of Medical Staff Services (NAMSS) to support ongoing professional development and remain current with industry standards, accreditation requirements, and best practices.
PREFERRED: Certification by the National Association of Medical Staff Services (NAMSS) as a Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM) is preferred. Candidates who do not hold certification at the time of hire are encouraged to obtain the CPCS or CPMSM credential within one year of meeting NAMSS certification eligibility requirements.

ESSENTIAL JOB FUNCTIONS
Credentialing, Privileging, and Provider Onboarding
- Coordinates and processes initial appointments, reappointments, privilege requests, and other credentialing activities by conducting primary source verification, evaluating credentialing information, identifying discrepancies or potential concerns, and supporting compliance with Medical Staff Bylaws, Credentials Policy, and regulatory requirements.
- Coordinates the review of credentialing and privileging files with Department Chairs, facilitating the evaluation process and communicating with physician leaders regarding application requirements and follow-up items.
- Coordinates the presentation and approval of credentialing and privileging files through the Medical Staff and Governing Board approval process, ensuring timely review, follow-up, and communication throughout the process.
- Maintains accurate and confidential practitioner files, ensuring timely completion of credentialing activities and monitoring licenses, certifications, DEA registrations, board certification, malpractice coverage, and other required credentials.
- Maintains the integrity and accuracy of the credentialing and privileging database (e.g., MD-Staff).
- Coordinates provider onboarding, orientation, and offboarding activities in collaboration with hospital departments to support a seamless provider transition.
- Coordinates annual provider education and mandatory training requirements, including assignment, tracking, follow-up, and compliance reporting through Healthstream.
- Assists with the coordination and documentation of Focused Professional Practice Evaluation (FPPE), Ongoing Professional Practice Evaluation (OPPE), and other provider competency processes.
Medical Staff Committee Support
- Coordinates Medical Staff committee meetings, including preparing and distributing agendas, meeting packets, minutes, and supporting documentation.
- Provides guidance and administrative support to Medical Staff leaders on the application of the Medical Staff Bylaws, Rules and Regulations, Credentials Policy, and established Medical Staff Services procedures.
- Maintains Medical Staff records, committee documentation, and follows up on assigned committee actions.
- Provides administrative support to the Medical Staff Services Office by responding to inquiries, maintaining organized records, and assisting providers, Medical Staff leaders, and hospital departments.
Continuing Medical Education (CME)
- Coordinates the planning and administration of Continuing Medical Education (CME) activities in collaboration with the accredited CME provider.
- Coordinates CME event logistics, including scheduling, registration, educational materials, attendance tracking, and communication with faculty and participants.
- Maintains CME records and documentation to ensure compliance with accreditation requirements.
- Prepares reports and maintains physician CME participation records.
Department Support
- Provides administrative and operational support by assisting with departmental initiatives, workflow coordination, special projects, process improvement activities, and other Medical Staff Services responsibilities as assigned.
- Participates in accreditation surveys, audits, and regulatory reviews by preparing documentation and responding to information requests.
- Maintains the confidentiality and security of credentialing, peer review, and Medical Staff information in accordance with organizational policies and applicable laws and regulations.
- Compiles, maintains, and distributes routine and ad hoc reports related to credentialing, privileging, provider demographics, committee activities, CME participation, and departmental operations.
