The Membership Coordinator will provide guidance to our team in a role that supports both our homeowners' association operations and the vibrant lifestyle of our community club. The ideal candidate is proactive, personable, and organized, with a passion for community engagement and facility excellence. This position is responsible for managing the day-to-day operations of the department. Reports to the Membership & Lifestyles Director.
Key Responsibilities
Resident Services & Club Support
Deliver prompt, courteous, and outgoing service to all residents, guests, and staff.
Support the membership/lifestyle director in all department needs and programming
Register new residents and rental tenants in our community systems.
Greet walk-in residents and ensure their needs are met efficiently and professionally.
Monitor all membership records and reports
Assist with realtor and new member tours, when needed.
Assist with coordinating all lifestyle events, ensuring smooth execution, when needed.
Organize, schedule and manage all club within club programming
Organize, schedule and assist with all ESL programming
Assist with department manager birthday program
Prepare detailed reports, summaries, and documentation as requested.
Qualifications & Skills:
Exceptional interpersonal and customer service skills
Strong organizational and multitasking abilities
Proficient in Microsoft Office Suite and general office systems
Experience in HOA operations, hospitality, or management preferred
Availability to work weekends or evenings during special events as needed
Ability to clearly and pleasantly communicate in English, both orally and in writing, using correct grammar, with membership, co-workers and management. Bilingual in English and Spanish preferred but not required.
Ability to understand member concerns and problems and find solutions, using good judgement and maintain discretion and diplomacy while performing job duties thus promoting positive relations with guests, members and staff, while remaining calm, courteous and helpful.
Ability to think clearly and quickly, prioritize, organize and follow up within the appropriate time frame.
Ability to maintain confidentiality of all member information.
Education/Certificates/Licenses/Training:
High school Diploma required; bachelor's degree preferred.
Availability:
Ability to work a flexible schedule and attend events as requested.
