About the Role

Spines is looking for a reliable, organized, and professional Office Administrator to support the day-to-day operations of our Florida office.

This is an on-site, part-time position requiring approximately 3 hours per day. The Office Administrator will be the primary person present at the office during working hours and will help ensure that incoming mail, visitors, customers, and basic administrative matters are handled efficiently.

Key Responsibilities

  • Collect, receive, sort, and organize incoming mail and packages.
  • Notify the relevant team members about important correspondence or deliveries.
  • Welcome customers, visitors, vendors, and other guests arriving at the office.
  • Speak with incoming customers professionally, understand the reason for their visit, and direct or escalate their request to the appropriate Spines team member.
  • Ensure customer inquiries or concerns received in person are documented and reported to the Team Lead.
  • Maintain a professional and organized office environment.
  • Assist with basic administrative and office-related tasks as required.
  • Coordinate with the Team Lead regarding any issues, visitors, correspondence, or matters requiring follow-up.
  • Provide a brief update/report to the Team Lead on relevant office activity.
  • Strong communication and interpersonal skills.
  • Professional and customer-oriented approach.
  • Reliable, punctual, and comfortable working independently.
  • Good organizational skills and attention to detail.
  • Comfortable communicating with customers and internal team members.
  • Basic computer and administrative skills.
  • Fluent English required.
  • Previous experience in office administration, reception, customer service, or a similar role is preferred.
