Office Manager

Outreach is a Christian community service organization providing counseling, case management, youth development, older adult service, and community development. For 50 years, Outreach has changed the lives of thousands of individuals, children, youth, and families in DuPage County, IL, and we are seeking to hire a diverse staff of highly competent professional employees to pursue Outreach’s mission to restore hope and provide opportunities for people to become all that God intends them to be. 

Puente del Pueblo is seeking an organized, dependable, and service-minded Office Manager to help support daily operations and ensure our office runs smoothly. This role works closely with the Site Director and serves as a key administrative resource for staff, volunteers, and community partners.

Benefits and Compensation:

$19 - $21/hour – per hour, based on experience and qualifications.

Schedule

• Part-time, approximately 20 hours per week
• Flexible schedule established with the Site Director based on program and office needs

Key Responsibilities

• Provide administrative support to the Site Director and Puente team.
• Manage calendars, schedule meetings, coordinate appointments, and send reminders.
• Prepare agendas, presentations, reports, forms, and other meeting materials.
• Take meeting minutes and track follow-up tasks and deadlines.
• Maintain organized electronic and paper filing systems.
• Coordinate office communications, mail, office supplies, and administrative requests.
• Assist with data entry, reporting, recordkeeping, and database management.
• Support office operations, equipment needs, and vendor coordination.
• Help improve administrative systems and processes to increase efficiency and organization.
• Provide administrative support for the annual Christmas Store, including meeting coordination, communications, and event preparation.
• Assist with special events, staff meetings, and community activities as needed.
• Maintain confidentiality of participant, family, employee, financial, and organizational information.

• Minimum of two years of administrative, office management, or related experience.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Word, Excel, Outlook, and other office software.
• Ability to learn and utilize organizational databases and administrative systems.
• Strong attention to detail and ability to handle confidential information with discretion.
• Ability to work effectively with staff, volunteers, community partners, and families from diverse backgrounds.
• Spanish-speaking candidates are strongly preferred.
