Job Summary:
Great Strides is one of the original providers of Applied Behavior Analysis (ABA) services in the St Louis area and we are BCBA owned and operated! Our focus is providing premier quality ABA services that are tailored to the needs and learning style of each child we serve. At Great Strides we utilize a natural environment teaching approach and believe that children learn best through play. Staffing ratios are 1:1 but therapy is conducted at the individual and small group level in our clinic setting.
We are seeking an organized, personable, and detail-oriented Operations Assistant to join our organization. You will coordinate various office tasks and functions to ensure office/clinic operations run smoothly at all times. This is a vital role at Great Strides. The individual in this position is responsible for supporting the general day-to-day operations of the clinic and is often one of the first faces a client, team member, or visitor will encounter. Tasks may include, but are not limited to, client intake, front desk management, performing multiple functions within practice management AND customized software, answering phones, handling mail, supporting needs of clinic staff, provider credentialing, inventory management, and general clinic up-keep.
The hours for this position are Monday-Friday 8:00 am to 4:30 pm.
Qualifications & Education:
- High School Diploma or GED
- Associate's degree or higher preferred
- Ideally, at least two years of administrative and customer service experience
A successful candidate must possess a high level of personal integrity, a great eye for detail, strong interpersonal and communication skills, able to work well in a busy environment with distractions, be tech-savvy and well-versed in the use of Microsoft 365 Suite and can quickly learn new software. Lastly, the best candidate for this role will possess a collaborative spirit and a passion for helping people.
Duties & responsibilities include, but are not limited to:
- Greet and assist all clients, team members and visitors
- Promptly answer and direct all incoming calls; take messages as needed
- Receive and disperse all incoming mail to appropriate personnel
- Complete new client intake and documenting in GSBC portal or software
- Set up and maintain client information in practice management software (Central Reach)
- Enter scheduled appointments
- Open clinic daily/assist staff with children as needed
- Assist with New Team Member onboarding tasks, including collecting employment paperwork, and assisting with credentialing and certification activities.
- Perform various clerical tasks as needed (file papers, organize supplies, etc.)
- Maintain supply inventory, reorder supplies in coordination with Director
- Provide general administrative support to administrative staff as needed
- Assist with and maintain emergency plans and Injury & Illness Prevention Plans
- Maintain client file security and confidentiality
- Maintain facility security
- Always maintain an organized personal workspace
- Attend company meetings as required
- Design and implement forms for use within the office and update as needed
- Field client concerns and ensure they are properly addressed or relayed to appropriate supervisor
- Complete special projects as assigned by the direct supervisor
- Maintain the facility to GSBC standards for “look and feel,” including regular organization and light cleaning
- Coordinate repairs or maintenance of the facility, furniture, or equipment
- Setup and maintain rooms for events
- Assist with event planning as needed
- Effectively and respectfully communicate with other members of the team
- Maintain accuracy and quality control throughout all job duties
- Maintain professional disposition when interacting with other team members, clients, insurance contacts, etc.
- Develop, maintain and constantly improve working knowledge of services, rules, regulations and payor requirements

This is a non-exempt position with full benefits including paid time off, medical/dental/vision/life/AD&D insurance, participation in company Simple IRA with company match up to 3% after 2 years of employment. - Have reliable means of transportation, license to drive and proof of valid insurance

- Physical Requirements: include but are not limited to sitting on floor, kneeling, bending, squatting, lifting and other physical activities that may be associated with handling young children – specifically those with Autism or office supplies under 50 lbs.
