Job Title: Operations Manager

The Operations Manager — Project & Program Operations is responsible for overseeing the operational execution of projects and programs across the organization. This position ensures that projects and programs are properly planned, coordinated, resourced, monitored, and delivered in alignment with organizational objectives, timelines, budgets, quality standards, and stakeholder expectations.
The Operations Manager works closely with project managers, program leaders, functional teams, vendors, and senior management to improve operational performance, manage resources, resolve issues, and establish consistent project and program management practices.
Oversee the day-to-day operational management of projects and programs.
Develop and implement operational plans to support successful project and program delivery.
Coordinate multiple projects, workstreams, teams, and organizational priorities.
Establish project and program schedules, milestones, deliverables, dependencies, and performance targets.
Monitor project and program performance against scope, schedule, budget, quality, and business objectives.
Coordinate resources, personnel, equipment, technology, vendors, and other operational requirements.
Develop resource plans and ensure appropriate allocation of resources across projects and programs.
Track program budgets, expenses, forecasts, and resource utilization.
Monitor project and program KPIs and develop operational dashboards and performance reports.
Identify risks, issues, dependencies, and constraints and coordinate appropriate mitigation strategies.
Establish escalation processes for significant operational risks and project issues.
Facilitate program governance meetings, operational reviews, project status meetings, and planning sessions.
Prepare management reports, executive presentations, status updates, and performance summaries.
Coordinate communication between project teams, business functions, vendors, and senior leadership.
Standardize project and program processes, procedures, templates, and reporting practices.
Develop and maintain standard operating procedures and operational guidelines.
Monitor project and program deliverables to ensure quality and consistency.
Coordinate vendor and contractor activities and monitor performance against agreed requirements.
Support change management activities associated with projects and programs.
Evaluate the operational impact of changes to scope, timelines, resources, systems, and business requirements.
Ensure project and program documentation is accurate, complete, and maintained throughout the lifecycle.
Identify opportunities to improve project delivery, operational efficiency, productivity, and cost effectiveness.
Lead continuous improvement initiatives across project and program operations.
Support project and program planning, implementation, transition, and closeout activities.
Conduct post-project and post-program reviews and document lessons learned.
Develop and maintain operational metrics and performance scorecards.
Ensure project and program activities comply with organizational policies, governance requirements, and applicable standards.
Coach and support project managers, coordinators, and operations team members in effective project and program practices.
Bachelor's degree in Business Administration, Operations Management, Project Management, or a related field.
5–8 years of experience in operations, project management, program management, or a related field.
Demonstrated experience managing or supporting multiple projects and programs simultaneously.
Strong knowledge of project and program management principles and operational processes.
Experience with resource planning, budgeting, scheduling, risk management, and performance reporting.
Strong proficiency with Microsoft Excel, PowerPoint, and project management software.
Experience with tools such as Microsoft Project, Smartsheet, Jira, Asana, Monday.com, or similar platforms.
Strong analytical, organizational, and problem-solving skills.
Excellent communication, leadership, and stakeholder management skills.
Ability to manage competing priorities and operate effectively in a fast-paced environment.
PMP, PgMP, CAPM, PRINCE2, or other relevant project/program management certification.
MBA or master's degree in Business Administration, Operations, or a related discipline.
Experience with Agile, Scrum, Waterfall, or hybrid project management methodologies.
Experience establishing project or program governance frameworks.
Experience managing enterprise-wide or cross-functional programs.
Experience with Lean Six Sigma or continuous improvement methodologies.
Experience with financial planning, budgeting, and cost management.
Experience managing vendors, contractors, and external partners.
Experience with Power BI, Tableau, or other business intelligence tools.
Experience supporting organizational transformation or strategic initiatives.
